Director of Operations

Summary Performs highly responsible and confidential work as principal staff support to the Division Superintendent; serves as the liaison for various Fairfax County Public Schools' (FCPS) constituencies; and performs related duties as required or assigned. Manages critical administrative functions, including the development and execution of agendas, budget management, and liaison activities between the Superintendent, the Leadership Team, and the School Board. Ensures legal compliance, handles sensitive inquiries, and manages the Superintendent's calendar and office operations to facilitate effective and efficient functioning of the Superintendent's Office. Qualifications Required Bachelor's degree. Six (6) years of progressively more responsible experience as an executive or confidential assistant, two of which shall have required independent judgment and oversight/supervisory responsibilities. Advanced degree(s) beyond the minimum degree requirement in a relevant field may be considered for some experience. Experience responding to local and state officials and the general public. Must be available to work evenings, as required. Knowledge of, or interest in, issues affecting education. Knowledge of practices, procedures, and policies of the school division and its administrative office. Ability to analyze and interpret data and reach sound conclusions. Ability to work independently; effective organizational skills. Ability to communicate effectively, both orally and in writing. Ability to manage and supervise personnel. Ability to establish and maintain effective working relationships with the multiplicity of constituencies served by the division, the School Board, and federal, state, and county officials. Preferred Master's degree. Major Duties/Essential Functions Represents the Division Superintendent, as requested or required. Prepares background information for the Division Superintendent prior to all meetings. Develops and/or coordinates all agendas for meetings attended or chaired by the Division Superintendent and ensures that all appropriate topics are scheduled. Regarding matters related to school division functions, provides advice, guidance and direction to school division staff members, School Board members, and the public. Acts as a liaison between, and a facilitator for, the Division Superintendent, the Leadership Team, and the School Board. Makes recommendations to the Division Superintendent. Assumes responsibility for the budget for the Office of the Division Superintendent, developing it, coordinating with the Fairfax County Public Schools' Budget Office and approving expenditures. Attends regular and special School Board, Leadership Team, and other policy or administrative meetings, as required, documenting actions and discussion or editing another's documentation; maintains approved legal records of those meetings as required by the Code of Virginia. Schedules, attends, and ensures essential administrative support for authorized closed session meetings, ensuring confidentiality of materials and compliance with legal requirements. Maintains the day and night calendars of the Division Superintendent, determining and making necessary schedule changes throughout the year. Conducts research for and personally handles many oral or written inquiries, including substantive or sensitive questions requiring research or technical knowledge, and provides oral or written responses on behalf of, or for signature by, the Division Superintendent Monitors activities to ensure that school division actions are disseminated in a complete, accurate, and appropriate manner. Oversees the administrative activities and operations assigned to the Office of the Division Superintendent. Performs related duties as required or assigned. Work Environment/Physical Requirements This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
