HeadInvest is seeking a Client Service Associate to join their team in downtown Portland, Maine! This is a full-time, in-office position that supports advisors and clients. This role is well suited for someone with strong administrative skills and an interest in building a career in wealth management.


Requirements of the Client Service Associate:

• Approximately 1-4 years of professional experience, preferably in wealth management, financial services, banking, insurance, accounting, legal, or another client-focused professional environment.

• Strong administrative, organizational, and follow-through skills with excellent attention to detail.

• Professional written and verbal communication skills and a polished, service-oriented approach.

• Ability to manage multiple priorities, meet deadlines, use sound judgment, and work effectively as part of a team.

• Comfort with Microsoft Office and the ability to learn CRM, custodial, and other wealth-management technology.

• Bachelor's or associate degree is preferred; relevant professional experience will also be considered.

• Prior investment licenses, advanced certifications, trading experience, and experience with specific wealth-management software are not required.

Responsibilities of the Client Service Associate:

• Provide day-to-day administrative and client-service support to advisors and portfolio managers.

• Respond to routine client requests involving cash transfers, deposits, withdrawals, gifting, statements, tax documents, and account information.

• Prepare account-opening and maintenance paperwork, gather documentation, and follow up on outstanding items.

• Work with custodians and financial institutions to process requests and resolve routine service issues.

• Maintain accurate client records and assist with new-client onboarding, meeting preparation, reports, and follow-up.

• Support IRA distributions, Required Minimum Distributions, charitable gifts, and other transactions with guidance from experienced team members.
