Operational Specialist (Air Freight)

We are looking for an experienced Air Freight Specialist to join our team in Miami and support the efficient management of international air freight operations. Job Summary The Air Freight Specialist will be responsible for coordinating and managing air freight shipments from origin to destination, ensuring timely movement of cargo, accurate documentation, compliance with customs and regulatory requirements, and effective coordination with airlines, freight forwarders, customs brokers, customers, and internal teams. Key Responsibilities Coordinate end-to-end air freight import and export shipments , ensuring timely and accurate execution. Manage shipment bookings with airlines, freight forwarders, and logistics partners. Prepare, verify, and maintain air freight documentation, including Air Waybills (AWB), commercial invoices, packing lists, certificates, and customs documentation . Monitor shipment status and proactively follow up on delays, exceptions, and operational issues. Coordinate with customs brokers and relevant authorities to ensure smooth customs clearance. Ensure shipments comply with applicable U.S. customs, airline, security, and international trade regulations . Liaise with airlines, ground handlers, warehouses, trucking companies, and other service providers. Review freight rates, charges, and invoices and ensure billing accuracy. Support freight cost analysis and identify opportunities to improve operational efficiency and reduce costs. Coordinate pickup and delivery arrangements for air freight shipments. Maintain accurate shipment records and update internal systems regularly. Handle shipment discrepancies, claims, damages, and other operational issues. Communicate proactively with customers and internal stakeholders regarding shipment status and exceptions. Develop and maintain strong relationships with airlines, freight forwarders, customs brokers, and other logistics partners. Prepare operational reports and provide regular updates to management. Ensure compliance with company SOPs, quality standards, and safety requirements. Support continuous improvement initiatives related to air freight operations and customer service. Requirements Bachelor’s degree in Logistics, Supply Chain Management, International Business, Transportation, or a related field . 3–5 years of relevant experience in air freight operations, freight forwarding, or international logistics . Strong knowledge of air cargo processes, import/export procedures, customs clearance, and international shipping documentation . Experience working with airlines, freight forwarders, customs brokers, and logistics service providers. Good understanding of U.S. import/export regulations and customs procedures . Familiarity with Air Waybills (AWB), Incoterms, HS Codes, freight rates, and shipment documentation . Strong analytical, organizational, and problem-solving skills. Excellent communication and stakeholder management skills. Ability to work in a fast-paced, international logistics environment. Proficiency in Microsoft Office, particularly Excel . Experience with logistics/transportation management systems is an advantage. Strong attention to detail and ability to manage multiple shipments simultaneously. Preferred Qualifications Experience in e-commerce logistics, cross-border shipments, or international express delivery . Knowledge of IATA regulations and air cargo handling procedures . Experience handling high-volume international shipments. Existing relationships with airlines, freight forwarders, and customs brokers in the U.S. market .
