Can you manage dozens of commercial service tickets at once, keep every stakeholder informed, and close jobs with flawless documentation? If that sounds like you, Beacon Mechanical Services wants a Corrigo expert who thrives in a high-velocity environment.
Why This Role MattersEvery minute counts in commercial service. You'll be the hub that connects customers, field teams, and operations—ensuring work orders move from intake to scheduling, through execution, and into complete, documented closeout.
What You'll Own- Live monitoring and processing of Corrigo work orders all day long.
- Detailed intake review: location, scope, priority, NTE, required completion dates, contacts, and special instructions.
- On-time acceptance and acknowledgment within required response windows.
- Coordination with scheduling and operations to assign and advance work.
- Customer and facility communication at every step: acknowledgment, technician ETA, schedule changes, WIP updates, return visits, delays (materials/approvals), and completion status.
- Accurate, timely status updates inside Corrigo.
- Collection and tracking of technician details: service notes, labor, materials, photos, equipment info, and completion documents.
- Assembly and upload of closeout documentation immediately upon finish.
- Active follow-up on aging or incomplete orders with the right team members.
- Support for quotes, NTE tracking, and approvals as needed.
- Record integrity between Corrigo and Beacon's internal service-management systems.
- Professional, prompt responses to all customer communications.
- Administrative and data-entry support to operations when required.
- 3+ years in administrative, dispatch, work-order management, or service coordination roles.
- Strong preference for experience in trade-focused operations: plumbing, HVAC, electrical, mechanical, facilities maintenance, or construction.
- Proven ability to work fast without sacrificing accuracy—comfortable with high volume and competing deadlines.
- Excellent written and verbal communication with facility managers, technicians, vendors, and internal leadership.
- Exceptional organization and follow-through; you close loops and finish details.
- Comfort using multiple software platforms; Corrigo, ServiceChannel, ServiceTitan, FieldPulse, or similar is a big plus.
- Google Workspace proficiency, plus strong basic spreadsheet and data-entry skills.
- Bilingual skills are a plus, not a requirement.
