The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities

Demonstrates advanced expertise in medication access and patient care coordination, operating as a leader and subject matter expert within the Pharmacy Access team. Oversees the daily operations and strategic direction of the Pharmacy Access Rep (PAR) team, ensuring the team's alignment with departmental objectives and patient care excellence. Provides leadership, mentorship, and oversight for the PAR staff within their assigned area. Drives performance management by conducting evaluations, addressing HR-related matters, and fostering a culture of professional development and accountability within the team.

Essential Functions

• Supervises staff scheduling within the relevant area, ensuring alignment with pharmacy leadership to maintain adequate coverage and meet workload demands, including coordination of lunch breaks and remote work schedules. Adjusts staffing in response to shortfalls to ensure timely, efficient coverage. Collaborates with other pharmacy leadership to guarantee minimum staffing levels are met across the department to maintain daily workload distribution. Manages the interview and hiring decision process for PAR, adhering to all university policies, and collaborates with leadership on final hiring decisions. Maintains time and attendance documentation appropriately based on area of work. Manages time off requests and callouts for employees. Administers progressive discipline when needed, in collaboration with leadership and HR business partner, up to and including termination decisions.
• Leads initiatives to enhance employee satisfaction and engagement through recognition programs, fostering a positive work environment to promote retention. Establishes and maintains positive team dynamics among the PAR staff through regularly scheduled meetings and communications about team performance, process improvement, and overall team accomplishments. Serves as liaison between the PAR team and pharmacy leadership. Mentors and guides professional development for PAR staff.
• Functions as a high-level expert within the area of supervision, overseeing PAR responsibilities with advanced knowledge and skills. Trains staff on providing exceptional customer service, including phone etiquette, service recovery, and professional interactions with both internal UR staff and the general public. Educates team members on retrieving information and communicating responses, ensuring clarity on which inquiries require pharmacist intervention.Coordinates readiness and other regulatory/compliance activities required by accrediting bodies. Supervises the team on shifts, overseeing workflow, delegating tasks, and addressing escalated issues, including handling complaints and urgent situations. Analyzes clinical program metrics, recommending process improvements to leadership. The statistics/data to be tracked and the frequency of reporting will be agreed upon with leadership. Serves as an area representative in interdepartmental meetings and projects.
• Oversees the orientation and training of new team members, ensuring a comprehensive onboarding process. Collaborates with team leads to enhance training effectiveness. Creates and maintains accurate and timely documentation of all training experiences. Reviews and updates training materials for each area to reflect current practices and regulatory compliance. Implements process for ongoing and timely evaluation of the progress of new employees during the PAR training process.Collaborates with pharmacy managers throughout the department to ensure adequate cross-training is completed and competencies maintained. Identifies quality, regulatory, or operational improvement areas and develops proposals for process improvement for presentation to leadership.Collaborates with pharmacy leadership to implement process improvements in the area of primary responsibility. Develops and manages quality improvement initiatives in conjunction with the pharmacy leadership team through the review of errors reported through the hospital error reporting system. Conducts prescription audits and develops robust internal auditing processes to ensure patient documentation's accurate and timely completion, ensuring compliance with hospital policies and regulatory standards.

Minimum Education & Experience

• Associate's degree in Medical, Secretarial, Business Management, Administration, or related fieldand six years of relevant experience required.
• One year of relevant management experiencepreferred.
• Or an equivalent combination of education and experience

Licenses and Certifications

• ASHP accredited training program uponhire preferred
• Certification from a nationally accredited pharmacy technician certification program (Currently PTCB) upon hire preferred
