Job Summary:
Reporting directly to the Senior Director of Advising, the Advising Operations Coordinator supports Front Range Community College’s mission of student success, access, and completion by coordinating the operational infrastructure that enables effective, equitable, and student-centered advising services. This position provides leadership in advising operations, systems administration, data analysis, process improvement, and administrative coordination to ensure students receive timely, accurate, and accessible support throughout their educational journey.
Through the managing of advising workflows, Navigate360 administration, assessment reporting, and cross-functional collaboration, the position helps strengthen retention and persistence initiatives, improve the student experience, and promote operational consistency across advising services. The role also provides key administrative and office support functions that contribute to the daily effectiveness of the advising team, including coordination of staff schedules and communications, maintaining operational resources and documentation, supporting purchasing and facility requests, assisting with event logistics, and serving as a central point of coordination for advising operations.
The Advising Operations Coordinator supports continuous improvement efforts by leveraging data, streamlining processes, and advancing equity-minded practices that align with FRCC’s commitment to inclusive excellence, collaboration, and holistic student support.
This position will be located at the Larimer Campus and have the opportunity to work remotely occasionally but will require a strong on campus presence and will require occasional travel to all three FRCC campuses for trainings, in-services, etc.

Duties & Responsibilities:
Operational Leadership
- Coordinate advising workflows and service delivery to support efficient, student-centered operations.
- Support the planning and coordination of peak registration and enrollment periods by coordinating logistics and communication with advising staff and Enrollment Management and Student Success (EMSS) partners.
- Develop and maintain standardized operating procedures, operational guides, and an internal information hub that serves as the go-to reference for advising staff.
- Monitor appointment availability, service levels, and operational processes to ensure advising services remain accessible, responsive, and aligned with departmental goals and student needs.
- Identify operational gaps and recommend process improvements that increase efficiency, reduce friction for students, and strengthen overall service delivery.
Systems Administration
- Serve as a primary operational administrator for the Advising department, for Navigate360 and other advising and student success technology platforms, ensuring effective system functionality and user support.
- Configure, maintain and optimize system settings and workflows, including appointment scheduling, communication campaigns, automated processes, and student engagement tools.
- Develop and maintain dashboards, reports, and data-tracking mechanisms to support advising operations, strategic decision-making and student success initiatives.
- Coordinate and monitor the College’s early alert process workflows including system routing, stakeholder communications, and follow-up activities.
- Manage student-to-advisor assignments and monitor data quality to ensure the accuracy and integrity of advising records and reports.
- Partner with campus stakeholders and technology teams to identify operational needs, support system enhancements, conduct testing, troubleshoot issues and implement continuous process improvements.
Data & Assessment
- Collect and analyze data, and develop reports data related to advising operations, student engagement, and student success outcomes to support data-informed decision-making.
- Support departmental assessment initiatives by gathering and evaluating operational and student success data, identifying opportunities for continuous improvement and service enhancement.
- Develop and maintain reports, dashboard, presentations, and data summaries for leadership, advising staff and college stakeholders.
- Utilize data to identify trends, measure outcomes, evaluate processes, and recommend process improvements that promote student success and equitable service delivery.
- Collaborate with college partners to support data-informed planning, assessment activities, and strategic initiatives.
Staff Coordination and Office Support
- Coordinate advising staff schedules and office coverage, to ensure consistent service delivery and operational continuity across advising locations and modalities.
- Serve as a primary point of contact for advising operations by managing shared communication channels, coordinating responses to student inquiries, ensuring continuity of communication during staff absences.
- Facilitate onboarding, training, and operational support activities for advising staff and student employees, including coordination of resources, schedules, and access to systems and tools.
- Monitors adherence to established procedures, workflows, and operational standards, promoting consistency, efficiency, and compliance across the advising team.
- Provide administrative and operational support functions for the Academic Advising department, including purchasing and procurement activities, supply and resource management, event and meeting coordination, facility work orders, and operational resources.
- Maintain update operational documentation, calendars, resource materials, and communication tools to support efficient office operations.
- Identify opportunities to improve administrative processes, and office workflows, implementing solutions that enhance operational effectiveness and the student experience.
Strategic Work & Collaboration
- Contribute to strategic initiatives and continuous improvement efforts to enhance advising effectiveness, operational efficiency, student engagement and student success outcomes.
- Support the development and implementation of equity-minded practices, processes, and service models that improve student access, responsiveness, and overall experience.
- Support student experience mapping and process analysis to identify barriers and opportunities for improvement.
- Collaborate with departments across Enrollment Management and Student Success, Academic Affairs, Information Technology, and other campus partners to support integrated student support services.
- Participate in committees, workgroups, and campus initiatives related to advising operations, student success, and retention strategies.

- Leading from the Middle: Lead from your position by not only closely examine your responsibilities for the department, but in bringing forward ideas to your supervisor the college should consider to be more student centered.
- Team Building: Participate in team-building exercises and strive to build positive and collaborative relationships with colleagues both within the department and in other departments within the college.
- Collaboration: Willingness to work with colleagues across departments to further student engagement.
Minimum Qualifications:
- An associate degree and four years of experience in information technology support, academic advising support, student success, or related field.
OR
- A Bachelor’s degree and two years of experience in information technology support, academic advising support, student success, or related field.
AND
- Experience engaging students, clients and/or customers in a helping role.
- Proficiency learning and utilizing technology such as Microsoft Suite, Banner, and EAB Navigate.
- Knowledge of academic advising or higher education and student affairs models.
Preferred Qualifications:
- Ability to communicate effectively in Spanish.
