Payroll & Benefits Administrator

Description Join Equity Resources, a privately owned mortgage company headquartered in Newark, Ohio. This role supports payroll operations, benefits administration, and employee collaboration on a structured hybrid schedule. Structured hybrid schedule; flexible hours ending at 5 PM or 5:30 PM. Generous PTO, 10 paid holidays, a birthday day off. Full benefits package (including pet insurance) starting first month after 30 days. 401(k) with company match. Referral program rewards: $500 for each borrower referred, up to $5,000 for referring an experienced Loan Officer. Corporate office located in Newark’s historic downtown square. Requirements Associate degree in Human Resources, Business Administration, or related field; Bachelor’s Degree preferred (or equivalent combination of education and experience). Minimum 3 years of experience processing multi‑state payroll and payroll taxes; basic accounting knowledge required. Experience with sales commissions and incentive pay strongly preferred. Certified Payroll Professional (CPP), Fundamental Payroll Certification (FPC), SHRM‑CP, or PHR preferred, but not required. Knowledge of FLSA and state payroll regulations. Proficiency with Microsoft Office and HR technologies, including web‑based payroll/HRIS; Paylocity HRIS experience preferred. Strong analytical and problem‑solving skills, high attention to detail, ability to prioritize multiple tasks and meet deadlines in a fast‑paced environment. Ability to work independently and resolve issues with sound judgment. Excellent written and verbal communication skills, able to engage employees at all levels. What Your Day Will Look Like The primary responsibilities of the Payroll & Benefits Administrator are to independently maintain, update, and process payroll accurately and on time. Additional duties include maintaining employee records in the HRIS system, generating reports, and administering benefits. Duties Process biweekly payroll, including validation of employee data, special payroll runs, and adjustments; improve payroll and commission processes for efficiency. Maintain payroll records, handle manual checks, stop payments, direct deposit updates, and special pay items (commissions, bonuses, garnishments). Monitor payroll tax filings and year‑end processes completed by vendor (e.g., W‑2s) for compliance with federal, state, and local regulations. Research, provide guidance, and ensure compliance with wage payment regulations. Maintain accurate HRIS records (new hires, terminations, pay changes, benefits) and generate reports as needed. Complete verifications of employment for current and former employees as needed. Serve as primary point of contact for payroll and HRIS inquiries, researching and resolving issues promptly. Manage employee benefits lifecycle, including enrollments, payroll deductions, HSA and 401(k) administration, partnering with vendors (Paylocity & Fidelity). Review benefits discrepancy reports from vendors and work with Paylocity and the vendor to resolve discrepancies with minimal impact to employees. Monitor pending coverage resulting from Evidence of Insurability and follow up with vendor and/or employee as necessary. Facilitate COBRA administration through Paylocity; ensure terminated employees are transferred to COBRA admin portal and appropriate paperwork is distributed. Maintain strict confidentiality of employee and payroll data, adhering to company policies, procedures, and ethical standards.
