Position Title: Maintenance Inventory Specialist

Wage: $70,000 - $85,000/year

Shift: 1st

Hours: 7:00am - 3:30pm

We are seeking a detail-oriented and self-motivated Maintenance Specialist to join our team in Wausau, WI. Reporting to the Maintenance Manager, this full-time position will play a pivotal role in supporting the maintenance department by handling administrative, analytical, operational tasks, and coordinating projects. By taking ownership of critical support functions, this individual will enable the maintenance team to focus on core activities, ensuring operational efficiency, regulatory compliance, and minimal equipment downtime.


The ideal candidate will be highly organized, have strong written communication skills, and possess a solid understanding of data analysis, inventory control processes, and project coordination.

Maintenance Inventory Specialist Responsibilities:
- Collaborate with external vendors and contractors, such as lawn care services, security systems, HVAC providers, fire protection, and other maintenance-related services
- Serve as the primary liaison for contractors, ensuring they meet expectations, stay on schedule, and adhere to safety and regulatory guidelines
- Plan and oversee small-scale maintenance or facility-related projects from start to finish
- Develop project timelines, assign resources, and ensure deliverables are achieved within scope and budget
- Work with stakeholders to align contractor activities and project goals with organizational needs
- Collect and analyze maintenance-related data to identify trends and track Key Performance Indicators (KPIs)
- Generate actionable insights and provide regular reports to management to support decision-making and continuous improvement initiatives
- Oversee the ordering and restocking of spare parts, updating quantities in the CMMS system upon receipt
- Create entries for new parts in the item master for new inventory items, ensuring accurate records and tracking
- Maintain an organized system for supplies and materials to minimize downtime caused by missing or misplaced items
- Monitor temperature and humidity systems to ensure proper functionality and compliance with environmental and regulatory standards
- Act as the point of contact for addressing system issues and ensuring recorded data accuracy
- Contribute to Non-Conformance Report (NCR) investigations, including conducting root cause analyses for maintenance-related issues
- Document findings and implement corrective and preventative actions to prevent recurrence
- Assist with change control processes by documenting updates and ensuring alignment with regulatory and industry standards
- Create and update Work Instructions (WIs) and Standard Operating Procedures (SOPs) to align with current best practices and compliance requirements
- Ensure documents are accurate, accessible, and effectively communicated to the team
- Set up new assets in the CMMS system and ensure proper labeling for identification and tracking purposes
- Keep equipment records up-to-date to support preventive maintenance plans and audit requirements

Requirements for Maintenance Inventory Specialist:
- Associate degree required; bachelor's degree preferred
- Proficiency in data analysis and expertise in Microsoft Excel is essential
- Strong written communication and typing skills
- Experience with CMMS (Computerized Maintenance Management Systems) is preferred
- Previous experience in maintenance, mechanical, or technical roles is a plus
- Proven ability to lead and coordinate small projects, including planning, resource allocation, and reporting
- Detail-oriented with excellent organizational and multitasking abilities
- Self-motivated with the ability to work independently and prioritize tasks effectively
- Strong interpersonal and verbal communication skills
