Position Overview We are looking to add a Clinic Administrator to our Pineville clinic location to assist with scheduling, patient services, administrative tasks, and ensuring a smooth clinic workflow. This is an entry‑level position with a great opportunity for growth. The ideal candidate is energetic, organized, self‑motivated, able to work comfortably without continuous oversight, and will serve as the face, voice, and first impression at KBH. The Administrator supports the clinic community through planning social events and maintaining a clean, safe environment for our clients and team members. Required Experience & Essential Skills Entry‑level position. Experience in customer service. Some office experience; up to a year of office experience preferred. Experience working with children strongly preferred. Must be comfortable working with children with special needs. Highly organized, self‑motivated individual with ability to work independently. Proactive and entrepreneurial self‑starter, able to handle multiple projects in parallel. Unwavering focus on customer service and delivering unparalleled client experience. Team player with ability to work in a fast‑paced, solution‑oriented environment. Strong proficiency with Microsoft Office (Word, Excel, Outlook). Able to lift at least 25 pounds. Role / Responsibilities Customer Service Serve as the face, voice, and first impression of KBH. Initial point of contact with families seeking in‑clinic ABA services or in‑home services. Greet clients at the front desk professionally and friendly. Ensure HIPAA confidentiality and sign‑in upon entry. Clerical Manage email account; respond to administrative items promptly and professionally; forward clinical questions to RBT supervisor or Clinic Supervisor. Answer phone calls and respond to voicemail messages appropriately, forwarding as needed. Facilitate inquiry calls and participate in warm hand‑offs. Manage office mailbox and distribute mail to personnel. Maintain file and EMR organization under HIPAA regulations. Make copies, laminate documents, and handle faxes. Create materials for Clinical Staff to use with clients. Facility Maintenance Ensure the clinic is “Tour Ready” through daily, weekly, and quarterly walkthroughs. Maintain clinic appearance as professional, clean, and safe. Monitor routine maintenance needs and schedule services. Manage budget for community building and office supplies; conduct inventories and purchase as needed. Uphold cleanliness guidelines, ensuring sanitization, organization, and deep cleaning. Clinic Level Support Support scheduling, including last‑minute and future needs to ensure client consistency. Manage Client Shadow opportunities to maintain service consistency. Work with Clinic Director to delegate tasks to team members. Assist all Clinical Staff (RBTs, BCBAs, etc.) to ensure client safety and dignity. Advocate for clients and Clinical Staff to secure necessary resources. Manage technical equipment and assignment of data‑collection tablets. Culture and Morale Organize events for KBH staff and assist in outreach events. Follow up with new hires for non‑clinical support and questions. Work closely with scheduling to onboard new team members and new clients smoothly. Serve as a consistent, positive presence impacting team culture. Coordinate ways to celebrate excellence and recognize team members. Maintain positive relationships with all clients, families, prospective clients, clinical staff, prospective employees, colleagues, and referral sources.
