Grants Manager

IntePros is partnered with a global biopharmaceutical client to identify an experienced Senior IIS & Grants Manager to join its Medical Affairs organization. This highly visible role will lead the operational execution of Investigator-Initiated Studies (IIS) and Medical Grants while partnering with global disease area teams and cross-functional stakeholders to drive operational excellence, governance, and compliance. This role is hybrid requiring 3 days/week onsite in King of Prussia, PA. About the Role This role will lead the operational execution of Investigator-Initiated Studies (IIS) and Medical Grants. Responsibilities Manage the end-to-end operational execution of Investigator-Initiated Studies (IIS) and Medical Grants, including intake, review cycles, governance meetings, milestone tracking, and portfolio oversight. Partner with Disease Area teams to ensure IIS and grant activities align with Medical Affairs strategy and business priorities. Standardize and optimize operational processes across teams, driving consistency and efficiency. Coordinate governance activities, including committee planning, documentation, decision tracking, and follow-up. Ensure operational readiness through compliant documentation, SOP adherence, and effective cross-functional coordination. Partner with Finance to manage budget planning, forecasting, tracking, and reconciliation for IIS and grant programs. Develop and maintain integrated project plans, milestone trackers, and portfolio timelines. Identify risks, manage competing priorities, and proactively communicate mitigation strategies. Provide regular project updates, dashboards, and portfolio reporting to stakeholders. Ensure IIS and grants activities comply with internal policies, SOPs, and applicable regulatory requirements. Maintain inspection- and audit-ready documentation across all operational activities. Support the development, refinement, and implementation of SOPs, templates, and best practices. Lead continuous improvement initiatives that enhance efficiency, governance, and operational consistency. Create and maintain dashboards, portfolio trackers, and reporting tools using Excel and other business applications. Prepare executive-level summaries highlighting KPIs, portfolio performance, risks, and recommendations. Translate operational data into actionable insights that support informed decision-making. Serve as a key operational liaison across Medical Affairs, Finance, Compliance, Legal, and external partners. Communicate complex operational updates clearly and effectively to stakeholders at all levels. Support change management initiatives related to governance, systems, and operational processes. Influence cross-functional teams and successfully drive initiatives without direct people management responsibility. Qualifications Bachelor's degree required; advanced degree preferred. PMP or equivalent project management certification is a plus. 8–10+ years of experience within pharmaceutical or biotechnology organizations supporting Medical Affairs Operations, clinical or medical program management, or related functions. Demonstrated experience managing Investigator-Initiated Studies (IIS) and/or Medical Grants programs. Strong understanding of governance, compliance, documentation, and operational best practices. Proven success leading cross-functional initiatives within a global, matrixed organization. Advanced Microsoft Excel and PowerPoint skills. Excellent communication, organizational, and stakeholder management abilities, including experience presenting to senior leadership. Required Skills Experience developing SOPs, templates, and process improvement initiatives. Familiarity with international compliance requirements impacting Medical Affairs operations.
