The ideal candidate is fluent in both English and Japanese , possesses exceptional organizational skills, and is comfortable supporting senior executives in a dynamic, multicultural environment.

What You'll Do

As the Executive Assistant, you'll serve as the primary administrative partner to the Group Vice President while also providing shared support to other senior leaders within the Flying Mobility organization.

Responsibilities include:

• Provide proactive executive administrative support to the Group Vice President
• Support additional members of the Flying Mobility leadership team, including Vice Presidents, General Managers, and Senior Executive Engineers
• Manage complex calendars, scheduling, and meeting coordination
• Coordinate domestic and international travel arrangements
• Organize meetings, conferences, and leadership events
• Prepare meeting materials, presentations, and communications
• Process expense reports and other administrative documentation
• Coordinate across multiple locations and business functions
• Navigate both Japanese and American business etiquette and communication styles
• Serve as a dependable resource to ensure leadership operations run efficiently

Qualifications

Required:

• Fluent in both English and Japanese (written and verbal)
• Previous Executive Assistant or Administrative Assistant experience
• Experience supporting senior executives is highly preferred
• Understanding of Japanese and American business culture and protocols
• Strong Microsoft Office skills (Excel, Word, PowerPoint, Outlook, Teams)
• Experience with Slack and Zoom
• Outstanding organizational and time management skills
• Excellent written and verbal communication skills
• High attention to detail and ability to manage multiple priorities

Preferred Qualifications

• Experience supporting Japanese expatriates
• Certified Bilingual Secretary (CBS)
• Japanese Secretarial Proficiency Test (Pre-1st Class or above)
• English Proficiency Test (Pre-1st Class or above for Japanese native speakers)
• Japanese Proficiency Test (Pre-1st Class or above for English native speakers)
