Property Manager

Job Type: Full-Time.
Schedule: Monday–Friday; weekends as needed for staffing needs and emergencies.
Compensation: Salaried position.

We are seeking an experienced and motivated Property Manager to oversee the day-to-day operations of our residential apartment community. The Property Manager will be responsible for ensuring the property operates efficiently, maintains strong occupancy and resident satisfaction, and meets established financial and operational goals.

The ideal candidate is an organized, customer-focused leader with strong supervisory skills, property management experience, and the ability to manage multiple priorities in a fast-paced environment.

• Oversee all daily operations of the apartment community.
• Ensure the property is maintained in accordance with company policies, procedures, and established standards.
• Monitor occupancy, property conditions, resident satisfaction, and overall community performance.
• Conduct regular inspections of the property, vacant apartments, and common areas.
• Coordinate with maintenance staff to ensure apartments are made ready promptly after move-outs.

• Assist the Regional Property Manager with annual budget preparation.
• Monitor property expenses and remain within established budget guidelines.
• Prepare monthly variance reports and supporting narratives.
• Ensure rents are collected and posted accurately and on time.
• Oversee required deposits and financial reporting.
• Review and approve vendor invoices for payment.
• Monitor delinquent accounts and coordinate appropriate collection and legal procedures.
• Make rental-rate recommendations based on market conditions and property performance.

• Hire, train, supervise, and motivate on-site employees.
• Provide ongoing coaching, training, and performance feedback.
• Review and approve employee timesheets.
• Ensure staff follow company policies, procedures, and safety requirements.
• Address performance issues and participate in disciplinary and termination processes when necessary.
• Develop and maintain a strong, professional on-site team.

• Provide exceptional customer service and maintain positive resident relationships.
• Address resident concerns, complaints, and service requests promptly and professionally.
• Participate in move-in and move-out inspections.
• Review notices to vacate and identify opportunities to improve resident retention.
• Maintain effective communication with residents and implement procedures that promote resident satisfaction.

• Welcome prospective residents and conduct property tours.
• Respond to leasing inquiries by phone, email, and in person.
• Ensure leasing paperwork and resident files are accurate and complete.
• Monitor occupancy and leasing activity.
• Conduct regular market surveys and monitor competing communities.
• Stay informed about local rental-market conditions, pricing, and industry trends.
• Recommend marketing and leasing strategies to support occupancy goals.

• Work closely with the Maintenance Supervisor to schedule and monitor maintenance activities.
• Coordinate apartment make-ready schedules and ensure timely completion.
• Communicate with vendors and contractors regarding scheduling, invoices, insurance documentation, and service expectations.
• Monitor the condition and appearance of the community.
• Complete or coordinate regular safety and property inspections.

• Ensure all property activities comply with applicable federal, state, and local laws and regulations, including Fair Housing, ADA, and Fair Credit Reporting requirements.
• Maintain accurate property, resident, and employee records.
• Ensure leases and required documentation are completed correctly.
• Submit required reports to corporate management on a weekly and monthly basis.
• Report accidents, incidents, workers' compensation claims, and other liability matters promptly.
• Attend company and regional management meetings as required.

• Preferably 3+ years of residential on-site property management experience.
• Demonstrated experience supervising and developing employees.
• Proven ability to manage property operations, leasing, resident relations, and financial responsibilities.
• Strong organizational, communication, and problem-solving skills.
• Customer-service-oriented with professional interpersonal skills.
• Knowledge of Fair Housing and other applicable property management regulations.
• Proficiency with Microsoft Word and Excel.
• Experience with property management or on-site rental management software preferred.
• Comfortable using a calculator and working with financial reports and budgets.
• Valid driver's license and reliable personal transportation.

This is a full-time salaried position. The Property Manager must be available to work weekends when necessary to meet staffing needs and respond to emergencies.

The position requires approximately 20–25% local travel , including property inspections, bank visits, visits to surrounding neighborhoods, and occasional travel to the corporate or regional office.
