You set the tone for the entire patient experience.You'll serve as the quarterback of the office, guiding patients through their visit, anticipating needs, and ensuring each step of their journey feels seamless, professional, and welcoming. From greeting patients and managing appointments to supporting patient flow and coordinating behind the scenes, you play a critical role in delivering a world-class experience.You are also a Brand Ambassador for NIVA Health, consistently living our core values of Teamwork, Resilience, Open-Mindedness, Ownership, and Positivity in every interaction—with patients, teammates, and the community.What You'll Be DoingDaily Operations & Patient ExperienceGreet every patient warmly and professionally upon arrivalOffer refreshments and ensure patients feel comfortable and informedAnswer questions, manage intake paperwork, and update patient records accuratelySchedule, confirm, and manage appointmentsHandle incoming and outgoing patient calls throughout the dayClinic Flow & AdministrationSupport efficient patient flow and provider schedulesMaintain and update the EMR system (check-ins, scanning, payments, chart prep)Keep the reception area clean, organized, and fully stockedAssist with lead management, outbound calls, and appointment generationParticipate in daily morning huddles and contribute to workflow planningOpening & Closing ResponsibilitiesPrepare schedules and charts for providersComplete daily checklists and ensure all tasks are executedTag leads accurately and prepare for the following dayPerform end-of-day office walkthroughs to ensure everything is properly shut downLove helping people and take pride in creating positive experiencesAre highly organized, proactive, and detail-orientedCommunicate clearly and professionally—both verbally and in writingStay calm under pressure and solve problems efficientlyEnjoy being part of a collaborative, values-driven team
