Position Summary

The Referral Coordinator manages the referral intake process from receipt through scheduling, ensuring patients are triaged, matched with the appropriate provider, and scheduled promptly. This role serves as a key point of contact for incoming referrals and patient outreach, working closely with the intake team to deliver a smooth experience from first contact through appointment scheduling.

Referral Intake & Triage

• Receive and enter referrals from MedSender into Atlas
• Upload referral and insurance eligibility verification into Atlas
• Triage and tag service type therapy, medication management, psychological testing, or a combination
• Manage specialty payer / contracts

Patient Outreach & Scheduling

• Contact patients same-day to confirm service interest and verify insurance
• Match patients to the appropriate provider based on insurance, location, and availability
• Schedule appointments for mental health therapy and medication management services
• Send intake forms the same day an appointment is scheduled

Follow-Up & Discharge

• Notify referring provider upon receipt of referral
• Manage a 3-attempt follow-up queue over 8 days for patients who have not been reached
• Discharge patients after 3 failed contact attempts and notify the referring practitioner

Required Qualifications

• Associate's or bachelor's degree in health sciences, psychology, or a related field
• 1+ year of experience in a medical or behavioral health administrative role
• Clinical literacy familiarity with mental health service types and terminology
• Strong phone communication and patient-facing skills
• HIPAA knowledge and compliance awareness
• Experience with EHR

Preferred Qualifications

• Experience as a Behavioral Health Technician (BHT) or medical scheduler
• Familiarity insurance platforms, Dialpad
• Experience in a multi-department or multi-location practice
• Bilingual a plus
