Vice President of Facilities Management over Texas & Oklahoma (14-18 facilities)

Reports To: Senior Vice President of Facilities Management

POSITION SUMMARY

The Vice President of Facilities Management provides regional leadership, support, training, and accountability for physical plant operations across an assigned portfolio of facilities. This position supports Directors of Environmental Services, General Managers, operational leaders, and facility teams in maintaining safe, clean, functional, compliant, and survey-ready environments. The Vice President serves as a hands-on regional resource with a strong focus on TELS management, regulatory readiness, site inspections, emergency response, project management, vendor performance, and leadership development. This is a support-driven leadership role: the expectation is to coach, teach, problem-solve, and work alongside facility teams while maintaining clear standards and accountability.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Provide regional oversight, coaching, training, and support to Directors of Environmental Services and facility leadership for Maintenance, physical plant, life safety, emergency preparedness, and overall facility readiness.
• Perform routine site visits throughout the assigned region to evaluate building condition, safety, appearance, Maintenance operations, documentation, TELS performance, and regulatory readiness.
• Provide clear site-visit findings, priorities, recommendations, responsible parties, and expected completion timelines. Follow identified concerns through correction and closure.
• Perform a comprehensive Facilities Management mock survey at least annually for each assigned facility, with additional focused reviews as operational or regulatory needs require.
• Assist facilities in developing, implementing, documenting, and monitoring Plans of Correction resulting from regulatory surveys, mock surveys, internal audits, site visits, and other identified deficiencies.
• Serve as a regional regulatory resource with strong working knowledge of Life Safety Code requirements, emergency preparedness, water management/Legionella programs, physical plant requirements, and other regulations applicable to facility operations.
• Ensure TELS activity accurately reflects actual facility conditions and work performed. Identify inaccurate completion, weak documentation, overdue requirements, and other compliance gaps and provide corrective coaching.
• Monitor facility and regional TELS performance, identify trends and low-performing areas, and develop focused improvement plans with facility and operational leadership.
• Provide initial, ongoing, and remedial TELS training to Directors of Environmental Services and other applicable facility leaders and team members.
• Audit life-safety, emergency preparedness, Preventive Maintenance, inspection, and other required documentation maintained through TELS for completeness, accuracy, and timeliness.
• Use TELS reporting and data to drive accountability, prioritize facility support, identify recurring problems, and validate readiness observed during site visits.
• Support implementation and management of corporate TELS initiatives, standardized tasks, documentation requirements, asset-management expectations, configured-area standards, reporting, and future platform enhancements.
• Maintain advanced proficiency with TELS and other technology platforms required for Facilities Management operations.

EMERGENCY AVAILABILITY AND TRAVEL

• This position serves as a regional escalation resource and requires continuous availability for critical facility emergencies and significant operational events. Urgent situations may occur outside normal business hours, including nights, weekends, and holidays, and the Vice President must be prepared to respond, coordinate resources, and provide leadership when needed.
• Routine regional travel is required. The position must have reliable transportation and the ability to travel by vehicle throughout the assigned region.
• Must be willing and able to travel by commercial air when required.
• Overnight travel is required based on site-visit schedules, projects, emergencies, training, meetings, and other organizational needs.
• Travel schedules may occasionally change with limited notice due to facility emergencies or operational priorities.

LEADERSHIP EXPECTATIONS

• Be visible, accessible, responsive, and engaged with assigned facilities.
• Assist the Senior Vice President of Facilities Management with developing, reviewing, standardizing, implementing, and educating facility teams on Facilities Management policies, procedures, standards, tools, and operating expectations.
• Support facilities during regulatory surveys and inspections, including preparation, document review, physical plant readiness, deficiency response, corrective action, and follow-up.
• Assist with significant repairs, equipment replacements, facility improvements, capital projects, and other operational projects from identification through completion.
• Provide strong project management, including scope development, prioritization, communication, scheduling, vendor coordination, budget awareness, progress tracking, documentation, and closeout.
• Manage and support assigned service-provider accounts and vendor relationships. Monitor service quality, responsiveness, pricing, contract expectations, documentation, and facility satisfaction; elevate or correct performance concerns as appropriate.
• Identify recurring regional deficiencies, operational risks, training needs, and opportunities for standardization and improvement.
• Participate in routine regional, operational, capital, Facilities Management, TELS, regulatory, and other assigned calls and meetings.
• Partner closely with General Managers, Vice Presidents of Operations, Directors of Environmental Services, senior leadership, and other support departments to resolve concerns and improve facility performance.
• Maintain a leadership approach centered on support and development. Coach, educate, demonstrate, and work alongside facility teams rather than relying solely on direction or escalation.
• Provide support during unexpected facility emergencies and significant operational events, including utility failures, weather events, building-system failures, life-safety concerns, evacuations, and other urgent situations.

TELS LEADERSHIP, AUDITING, AND MANAGEMENT

• Serve as a regional leader, trainer, and subject-matter resource for TELS utilization and Facilities Management expectations.
• Perform routine TELS audits across assigned facilities, including tasks, work orders, Preventive Maintenance, required documentation, assets, configured areas, inspections, overdue items, and overall platform utilization.
• Build strong working relationships while maintaining clear expectations and accountability.
• Approach struggling facilities with a coaching and problem-solving mindset while remaining firm on safety, compliance, documentation, and organizational standards.
• Communicate concerns early and clearly, with practical solutions, responsible parties, timelines, and follow-up.
• Use TELS data, site observations, mock surveys, regulatory findings, and operational feedback together to evaluate actual facility performance.
• Escalate significant safety, regulatory, leadership, financial, project, or operational risks to the Senior Vice President of Facilities Management and appropriate operational leadership.
• Promote consistency and standardization across the region while recognizing the operational needs of individual facilities.

PHYSICAL DEMANDS

• Ability to travel routinely and move throughout facilities and grounds for site visits, inspections, audits, projects, and operational support.
• Ability to push, pull, move, and/or lift up to 50 pounds as required for the position.
• Ability to work around mechanical equipment, utility areas, environmental conditions, ladders, roofs, construction areas, and other normal facility-maintenance settings as necessary.
• May be required to assist during emergency response or resident evacuation situations.

Requirements

QUALIFICATIONS

• Minimum five years of progressive experience in Facilities Management, physical plant operations, Maintenance, construction, Environmental Services, healthcare facilities, or a related field preferred.
• Multi-site, regional, or senior facilities leadership experience strongly preferred.
• Healthcare, skilled nursing, rehabilitation, senior living, or other regulated-facility experience strongly preferred.
• Strong working knowledge of Life Safety Code, emergency preparedness, water management and Legionella requirements, building systems, HVAC, electrical, plumbing, generators, fire/life-safety systems, and general facility regulatory requirements.
• Demonstrated ability to perform facility inspections, regulatory readiness assessments, mock surveys, audits, and corrective-action follow-up.
• Excellent computer and technology-platform skills, including the ability to learn, manage, audit, train, and troubleshoot facility-management systems. Advanced TELS proficiency is required or must be developed quickly.
• Excellent written and verbal communication skills with the ability to communicate effectively with facility teams, executives, vendors, and regulatory personnel.
• Strong project-management and organizational skills with the ability to manage multiple facilities, projects, deadlines, priorities, and follow-up items simultaneously.
