AI | Technology | Real Estate

We’re looking for a smart, highly organized, tech-savvy, and resourceful Executive & Operations Assistant to work closely with the President of a growing Long Beach real estate company.

This is not a “sit at a desk and wait for instructions” position.

We’re looking for someone who is one step ahead, naturally organized, curious about technology, comfortable using AI, and takes ownership of getting things done. You’ll play an important role in keeping the business running smoothly while helping us continue to grow our brand, marketing, systems, and client experience.

If you’re the type of person who sees a problem and thinks, “Let me figure this out,” rather than “Who should I ask?” , then you may be exactly who we’re looking for.

Compensation:

$60,000 - $70,000 yearly

Responsibilities:

• Executive & Business Support: Work closely with the President to manage priorities, schedules, follow-ups, documents, and day-to-day business operations—keeping things organized and moving forward.

• Systems & Organization: Create, maintain, and improve systems for CRM, lead tracking, workflows, digital files, checklists, and processes so nothing falls through the cracks.

• YouTube & Content Management: Manage the daily maintenance of our active YouTube channel, including uploading videos, optimizing titles and descriptions, organizing playlists, thumbnails, and links, monitoring analytics, and keeping our content calendar on track.

• AI & Technology: Leverage ChatGPT, Claude, and other AI tools to improve productivity, research, content creation, organization, and automation; continuously identify new technology that can make the business better and more efficient.

• Marketing & Brand Support: Assist with social media, email campaigns, listing marketing, Canva, digital assets, client communications, and maintaining a polished online presence.

• Client & Transaction Support: Maintain accurate CRM and client information, assist with transaction coordination and follow-up, and help ensure every client receives a seamless, organized experience.

• Problem-Solving & Ownership: Take initiative, troubleshoot problems, coordinate vendors and projects, research solutions, and proactively identify what needs to be done rather than waiting to be told.

Qualifications:

• 2+ years of professional experience in an administrative, executive assistant, operations, marketing, or similar role; real estate experience is a plus.

• Exceptional organizational skills and attention to detail—you naturally keep track of the little things and follow through.

• Highly resourceful and independent—you know how to research, troubleshoot, and find answers without needing constant direction.

• Tech-savvy and AI-curious—comfortable with ChatGPT, Claude, Canva, Google Workspace, Microsoft Office, CRM platforms, YouTube Studio, and eager to learn new tools.

• Strong written and verbal communication skills with a polished, professional presence.

• Proactive and accountable—you take ownership, meet deadlines, and can be trusted to get things done correctly and completely.

• Adaptable, mature, and growth-minded—comfortable in a fast-paced enterprising environment where priorities can change, and there is always an opportunity to improve a system or process
