Customer Service Representative – Public Works Department The City of Elk Grove is currently accepting applications for the position of Customer Service Representative in its Public Works Department. This role requires a highly motivated, versatile problem‑solver with excellent customer service, organizational, and communication skills. The Customer Service Representative serves as the primary point of contact for residents and acts as a liaison to staff within the Operations & Maintenance, Capital Maintenance, Landscape & Facilities, and Recycling & Waste Divisions. The position supports program goals, policies and processes in daily operations and special activities such as storm response. This role is ideal for someone who enjoys working with a dedicated team committed to quality customer service, efficiency, and innovation. Responsibilities Serve as the first point of contact in person, over the phone, and through electronic means for functional areas with heavy public contact. Provide customer service and assistance to the public, colleagues, external departments, and other City personnel. Respond to inquiries, explain internal processes, procedures and requirements for a variety of transactions, services or activities. Receive, respond to and process requests for information, records and documents; convert hard‑copy records into digital formats; index and retrieve records in an electronic records system. Collect and post payments, verify accuracy of forms and route them to appropriate departments for review and action. Compile, review and record financial data, reconcile discrepancies, balance cash and prepare bank deposits. Perform general office support functions: typing, record‑keeping, proofreading, maintaining schedules, creating correspondence, preparing reports and maintaining files and logs. Maintain reception area, keep public areas clean, secure and open during business hours. Order supplies, monitor inventory, and manage mail for the department. When assigned to Animal Services/Animal Shelter, perform animal handling duties. Perform any related duties as assigned. Qualifications Education and Experience: Completion of the twelfth grade and at least one year of administrative support or customer‑service experience in a public‑contact environment. Knowledge: Techniques for high‑level customer service, records‑management principles, clerical accounting, federal, state and local laws, financial record‑keeping, City operations, effective public communication, diversity, equity, inclusion principles, business correspondence, safety rules and protocols, English language structure, and current equipment and communication tools. Ability: Understand organizational operations, interpret laws and regulations, establish and maintain records, perform routine math, read and review documents, multitask in a high‑contact environment, use customer‑service techniques, use computer systems and software, communicate clearly in English, exercise independent judgment, engage with a diverse public, and foster positive working relationships. Physical Demands Work in a standard office setting using computer equipment; vision, hearing, speech, and mobility required. Standing, walking, bending, stooping, kneeling, and reaching are frequent.
