Front Desk Coordinator – Medical Aesthetics

Location: Jacksonville Beach, FL
Job Type: Full-Time
Pay: $17–$21 per hour, depending on experience
Reports To: Practice Manager / Owner

About the Role

We are seeking a professional, organized, and customer-focused Front Desk Coordinator to join our growing medical aesthetics practice in Jacksonville Beach, FL .

As the first point of contact for our patients, you will play an important role in creating a warm, professional, and exceptional patient experience. The ideal candidate is confident, detail-oriented, and comfortable multitasking in a fast-paced medical aesthetics environment.

Key ResponsibilitiesPatient Experience & Front Desk Operations

• Greet patients warmly and provide professional check-in and check-out support
• Create a welcoming and positive patient experience
• Answer and manage incoming phone calls, emails, and text inquiries
• Schedule and confirm appointments using Aesthetic Record, Boulevard, or similar systems
• Conduct patient follow-ups and re-engagement outreach
• Coordinate patient flow and assist with maintaining an efficient daily schedule

Administrative & Clinical Support

• Transfer paper charts into the EMR system
• Assist with preparing surgical charts and documentation for upcoming procedures
• Create quotes for surgical procedures
• Discuss available patient financing options when appropriate
• Conduct follow-up outreach for consultations
• Assist providers with treatment room preparation and patient flow

Payments, Memberships & Retail

• Collect patient payments and process memberships and treatment packages
• Reconcile daily sales and transactions
• Support retail skincare sales and product recommendations
• Track and contribute to key performance indicators (KPIs), including:
  • Rebooking rates
  • Membership sign-ups
  • Retail sales

Clinic Operations

• Maintain a clean, organized, and professional front desk and lobby
• Restock retail displays and clinic supplies as needed
• Assist with laundry, kitchen tasks, and light office housekeeping
• Help maintain a clean and organized clinic at the end of each day
• Follow HIPAA and patient confidentiality requirements

Qualifications

• High school diploma or equivalent required; college coursework preferred
• Previous front desk, hospitality, medical office, or medical aesthetics experience strongly preferred
• Excellent communication and customer service skills
• Professional, friendly, and polished demeanor
• Strong organizational and multitasking skills
• Comfortable working with scheduling systems, POS systems, and EMR software
• Ability to work effectively in a fast-paced clinical environment
• Strong attention to detail and follow-through
• PatientNow experience is a plus

Compensation & Schedule

Pay: $17–$21 per hour, based on experience
