Assistant Director, Community Management

Job Summary The Assistant Director, Community Management supports the Director and/or VP of Community Management, driving best practices and delivering personalized service. Responsibilities include managing a small portfolio of key communities, resolving client conflicts, attending board meetings, and collaborating with leadership to develop policies, procedures, and staff performance plans. Responsibilities Leadership Oversight of a reduced portfolio of Community Managers and/or Associate Managers in the regional office. Regular attendance at industry events for education and business development. Act as liaison between departments and external parties, conveying information accurately and seeking guidance from the Vice President as needed. Demonstrate integrity and honesty in interactions with clients and team members. Participate in formulating and implementing company policies and procedures. Community Management Operations Manage and retain a small portfolio of key client communities. Resolve client conflicts within 24‑48 hours, collaborating with leadership as required. Attend regular board meetings and annual meetings for each account. Maintain strong relationships with Association Boards on all accounts. Contact Board Members on a set cycle to gauge satisfaction with management services. Proof all outgoing work—including meeting minutes, property inspections, action lists, board packets, newsletters, billing statements, budgets, audits, election materials, and miscellaneous mailers—for assigned communities. Participate in formulating and implementing company policies and procedures. Perform additional duties as business needs dictate. Employee Engagement and Performance Management Collaborate with the Vice President to set performance goals for Community Managers and Associate Managers, aligning them with company objectives. Provide one‑on‑one training and mentorship to ensure contract terms are met. Meet regularly with direct reports in both individual and team settings to promote skill development and rapport. Work with the Vice President to monitor staffing needs, participate in interviewing and hiring, conduct evaluations, recommend discipline when required, and conduct staff meetings. Achieve established employee retention objectives. Requirements Knowledge, Skills and Experience: 4+ years in homeowner association management or related field; experience with mid‑ or high‑rise properties strongly desired. 2+ years of supervisory experience across multiple locations. Experience in staff management, project management, budget management, and strategic goal development. Comprehensive knowledge of management practices, accounting procedures, personnel practices, Association CC&Rs and Bylaws, inventory and procurement, contract relations, association maintenance, and safety practices. Strong analytical, problem‑solving, and creative thinking skills. Excellent verbal and written communication. Customer‑service driven. Financial acumen with substantial budget development experience. Proficient in Microsoft Word, Excel, Outlook, and PowerPoint. Minimum Education: College degree or equivalent industry experience. Language Skills: Strong written and verbal communication at all levels of the organization. License/Permits/Certifications Required: Valid Driver’s License and state‑mandated vehicle insurance. CCAM, CMCA, and AMS designations required; CMCA, AMS, and PCAM designations desired. Availability: Regular business hours with additional availability for board meetings and events after hours as necessary. Physical Requirements and Work Environment: Ability to sit for extended periods. Finger dexterity for typing and using a keyboard. Mobility to move around the office and participate in community inspection walks. Hearing sufficient to receive telephone calls and voicemail messages. Ability to lift up to 25 lbs.
