Onboarding Assistant

Overview LHH is teaming up with a healthcare-focused organization in Novato, CA in search of an Onboarding Assistant to support a high-volume onboarding and credentialing function across multiple departments. This role sits within a fast-paced, detail-driven environment supporting new hire onboarding within a regulated medical setting. The team is in the process of transitioning systems and managing a high volume of onboarding workflows simultaneously. This position is fully onsite and plays a critical role in ensuring a smooth and compliant onboarding experience for incoming employees. Responsibilities Manage multiple onboarding processes simultaneously, tracking candidates through various onboarding stages Administer onboarding checklists and ensure completion of all required documentation Download, organize, and verify new hire documentation including school verification and immunization records Support credentialing and licensing processes in compliance with healthcare requirements Communicate directly with candidates to collect required information and follow up on outstanding items Coordinate first-day onboarding logistics, including system access and internal tracking tools Collaborate with IT and internal teams to ensure new hire readiness Maintain accurate records within onboarding systems and spreadsheets Support system transition efforts from one ATS platform to another Qualifications Required: Prior experience in onboarding within a healthcare, medical, or pharmaceutical environment Required: Strong administrative experience with high attention to detail Required: Experience managing high-volume onboarding or similar multi-step processes Required: Familiarity with credentialing, licensing, and compliance documentation Required: Strong organizational skills with the ability to track multiple workflows simultaneously Required: Professional communication skills when interacting with candidates and internal stakeholders Preferred: Experience working with applicant tracking systems and HRIS platforms (ADP strongly preferred) Job Details Job Type: Contract (ongoing) Start Date: ASAP Location: Fully onsite in Novato, CA Hours: Standard business hours, Monday–Friday Pay Rate: $30–31/hour Benefits Benefit offerings include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits, and 401K plan.
