Billing Manager

The Billing Manager position reports to the General Manager and is responsible for coordinating and directing the various terminal billing activities, including utilization of dispatch and billing systems to track deliveries and prepare billing records and documentation, response to customer billing inquiries, researching and resolving billing discrepancies, data compilation and entry into various reports, coordination of the terminal billing function with the appropriate corporate departments; and other general clerical and administrative tasks as may be assigned to the billing department for their assigned operations and/or customers. Investigates and corrects billing discrepancies. Interacts with other departments to assure all information required for billing purposes is timely received and in correct format. Responds to inquiries related to billing and settlements received from customers and contractors. Compiles and timely submits billing data and required reports to various corporate departments.KEY RESPONSIBILITIESResponsible for managing billing processes for multiple operations/customersPerform and/or supervise others in the following billing processesRate LoadsSubmit accurate billing invoices and supporting documentation to customers for payment on all open balances in a timely mannerResearch and reconcile billing discrepanciesMiscellaneous Bills - Add/Subtract Money if there is a variance between LME vs. InvoiceCompilation and entry of data on reports timely submitted to various corporate departments.Provide Customer ServiceAssist contractors and carriers with settlement concernsAssist & resolve customer billing/payment inquiriesAnswer incoming calls to billing departmentResolve settlement & billing disputesResearch, analyze, and resolve problems or questions presented by other workers, and staff using knowledge of common problems and of LME functionInvestigate any unapplied cash received as requestedComdata – Manage cards, issue cards, resolve Comchek issues, advances, reset carrier cards, etc.Monitor carrier insurance certificates to ensure policies are activeMonitor emails for timely & accurate responsesEscrow Requests/Authorization ProcessManage the POD/Scanning processEnter Toll Tag billing/payments in LMEAssist with other departments as neededActs professionally and ethically at all times.Performs other duties as may be assigned from time to time.EDUCATION QUALIFICATIONS / REQUIREMENTSMinimum 2+ years of billing experience in the transportation industry.Strong knowledge of dispatch operationsStrong knowledge of transportation services operating agreementsDESIRED KNOWLEDGE, SKILLS, AND ABILITIESPrior experience leading people or teamsAbility to safely and accurately work under tight time constraintsAbility to communicate clearly and understand instructions receivedStrong commitment to team work and customer servicePHYSICAL DEMANDS AND WORKING ENVIRONMENTGenerally sedentary office work environment but required to frequently traverse warehouse, yard and shop facilities as well as on and around trailers and trucks. Some climbing on ladders and steps required. Walking, standing, bending and stretching for extended periods of time. Lifting up to 25 pounds.
