Executive Program Manager

DescriptionThe Executive Program Manager is a central operations position that manages programs and special projects for the Executive Leadership Team (ELT) at the division level. This role focuses on driving completion of projects, conducting research and analysis, and responding to ad-hoc business requests from ELT members. The position requires strong analytical skills, project management capabilities, and the ability to work independently on varied assignments. This person will gather data, synthesize information, manage small-to-medium projects, synchronize related communications across the division, and support the Central Operations team with ELT-related work. This is a project-focused analyst position supporting strategic initiatives.ResponsibilitiesManage special projects and one-off initiatives assigned by ELT members or Central Operations leadership.Conduct research and analysis on topics requested by the ELTGather data, run reports, and synthesize information to support ELT decision-making.Respond to ad-hoc requests from ELT membersCoordinates scheduling and logistics for key leadership meetingsDevelop project plans, timelines, and track progress for assigned initiatives.Coordinate cross-functional resources as needed to complete projects.Create presentations, reports, and briefing materials based on research findings.Support Central Operations Senior Manager with ELT-related projects and priorities.Identify and document best practices, process improvements, and operational efficiencies.Manage small-to-medium complexity projects from initiation through completion.Communicate project status and findings to stakeholders clearly and concisely.Maintain project documentation and ensure proper handoff upon completion.Support training initiatives such as training labs and enablement programs.Assist with tool evaluation, vendor research, and technology assessments.Contribute analytical insights to support strategic planning and decision-making.Maintain confidentiality with sensitive information and strategic initiatives.Performs other job-related duties and responsibilities as may be assigned from time to time.Work effectively in a team-oriented environment.Maintain confidentiality with the utmost discretion and professionalism.Communicate effectively and professionally with clients, vendors, and throughout the organization.Apply critical thinking skills to troubleshoot and develop acceptable solutions.Prioritize and organize an array of varied tasks with very limited supervision.Coordinate and implement multiple demands, tasks, and projects.Ability to promptly anticipate and address unexpected demands. Able to balance the workload and correctly complete each task while working to allocate time for special projects that arise from time to time.Ready to participate, recommend, and assist other team members.Demonstrate excellent partnering and communication skills with executives and cross-functional teams.Maintain composure under pressure and accurately assess and resolve problem situations.Work effectively in a fast-paced, team-based environment.Operate independently on projects with minimal direction, knowing when to ask clarifying questions.Manage ambiguity and scope with unclear or evolving project requirements.Synthesize complex information from multiple sources into clear, actionable insights.Translate executive requests into structured project plans and deliverables.Exercise sound judgment about project approach, scope, and escalation.Adapt quickly to shifting priorities and new project assignments.Balance depth of analysis with speed of delivery based on project needs.QualificationsPrior experience as a project coordinator, executive assistant, or similar role, ideally at least 5+ years prior experience in project coordination, business analysis, operations analysisProven ability to manage multiple projects simultaneously and deliver results independently.Strong analytical and research skills with the ability to gather data from various sources and synthesize findings.Experience conducting business research, tool evaluations, or process analysis.Excellent organizational skills and attention to detail with ability to work under tight deadlines.Strong problem-solving capabilities and ability to structure ambiguous requests into actionable plans.Ability to work well both independently and within a team environment.Excellent interpersonal skills including verbal and written communication, teamwork, and customer service skills.Advanced level proficiency with Microsoft Word, Excel, Planner, PowerBI, and PowerPoint for creating reports, presentations, and analysis.Comfortable with data analysis, reporting tools, and learning new software platforms.Experience with project management methodologies and tools preferred.Understanding of software industry helpful but not required.Keen attention to detail and commitment to quality deliverables.Self-starter mentality with ability to take ownership of projects from start to finish.Proven track record of managing complex, cross-functional projects from initiation through completion.Experience coordinating large-scale meetings and events (50+ attendees, executive audiences).Excellent planning/organizing skills.Handling confidential information and maintaining organized filing systems. Demonstrates strong organizational skills and attention to detail and accuracy, with ability to multitask, adhere to strict deadlines, and work under pressure.Solid research capabilities, coupled with sound judgment, problem solving and decision-making skills.Ability to work well both independently and within a team environment.Excellent interpersonal skills including verbal and written communication, teamwork, and customer service skills.Advanced understanding of Microsoft Outlook and desktop calendar management programs.Keen attention to detail.Project Management certification (PMP, CAPM, or equivalent) is preferred but not required.1 o
