Job Description
Property Manager Assistant
We are seeking a highly organized, proactive, and detail-oriented Property Manager to oversee the day-to-day operations and financial performance of assigned residential properties. The ideal candidate will be a strong communicator, problem-solver, and possess a thorough understanding of property management principles and best practices.
Property Operations & Maintenance:
Oversee and coordinate all aspects of property operations, ensuring properties are well-maintained, safe, and aesthetically pleasing.
Manage and supervise maintenance staff and/or external vendors, ensuring timely and quality completion of repairs and maintenance requests.
Develop and implement preventative maintenance schedules to minimize costly repairs and ensure asset preservation.
Conduct regular property inspections to identify maintenance needs, safety hazards, and lease compliance issues.
Obtain bids and negotiate contracts with vendors for services such as landscaping, cleaning, security, and repairs.
Respond promptly and professionally to tenant maintenance requests and concerns.
Manage emergency situations effectively and implement necessary protocols.
Ensure compliance with all applicable local, state, and federal laws and regulations related to property management, safety, and fair housing.
Tenant Relations & Leasing:
Develop and implement effective leasing strategies to maintain high occupancy rates.
Market vacant units through various channels, including online listings, signage, and community outreach.
Screen prospective tenants thoroughly, including background checks, credit checks, and income verification.
Prepare and execute lease agreements in accordance with company policies and legal requirements.
Build and maintain positive relationships with tenants, addressing their concerns and fostering a sense of community.
Enforce lease terms and handle tenant violations appropriately.
Manage the move-in and move-out process, including property inspections and security deposit accounting.
Administrative & Compliance:
Maintain accurate and organized property records, including tenant files, leases, maintenance logs, and financial documentation.
Prepare and distribute tenant notices and communications.
Stay updated on relevant legislation and industry trends.
Ensure compliance with safety regulations and implement emergency procedures.
Assist with insurance claims and legal proceedings as necessary.
Utilize property management software effectively for record-keeping, communication, and reporting.
Qualifications:
Strong understanding of property management principles, leasing practices, and relevant laws and regulations (e.g., Fair Housing).
Excellent communication, interpersonal, and negotiation skills.
Strong organizational, time management, and problem-solving abilities.
Proficiency in property management software (e.g., Yardi, AppFolio, Buildium, RentReady).
Ability to work independently and as part of a team.
Ability to handle stressful situations and resolve conflicts effectively.
Valid drivers license and reliable transportation may be required.
Preferred Qualifications:
Experience managing multi-family residential properties.
Familiarity with local market conditions.
Experience supervising staff.
