Project Controls Analyst

Job DescriptionJob Overview:As a Project Controls Analyst with APTIM, you will have the chance to work on project teams using expertise in forecasting, change management, cost management, project budget analysis, earn value analysis, risk management, proposal support, estimate development, cashflow and other financial reporting tools. You will manage the overall project/program cost controls and financial reporting by providing client management documentation, updates, and presentations for projects generally under $20M in value. You may interface directly in CPM schedule software to perform basic schedules or create project specific visualizations utilizing Power BI or similar tools.This position will primarily support the Emergency Management / Disaster Services and Infrastructure Management team. This role will require 40-50 hours per week with the majority of the overtime focused on proposal efforts and project initiation during the time immediately following Emergency/Disaster incidents. This position may require more than 50 hours for the first 3 months or so of a response as well as availability on nights and weekends during this timeframe. This position will have a key role in initial setup and support of the project infrastructure necessary to support our field teams in responding to Emergencies and Disasters. Travel will be required during the project initiation phase. 3+ years of fulltime work experience related to Emergency Preparedness and Response projects is strongly preferred.Key Responsibilities/Accountabilities:Will perform tasks primarily associated with Cost Management and Control. Includes familiarity with and use of data produced by CPM Scheduling, Risk Management, and Earned Value Management. Will be familiar with basic data structure concepts and reporting/graphical visualization tools.Perform Daily Weekly/Monthly creation/updating of Project Cost Reports as required by contractPerform periodic project job site audits, surveillances, etc. as required.Perform reconciliation of budget vs. actual variances produce detailed variance analysis.Support/Produce Client Invoicing per the contract. Reconciliation of actual backup data to actual amounts billedPerforming/Reporting monthly cash and billing forecastsUse of Microsoft Power BI to create graphical dashboards of Excel data for use in management presentations or project specific data management and visualization solutions (preferred)Provide Professional recommendation and/or implementation of correct actions.Manages Financial aspects at the program levelUpdate schedules for accurate progress measurement and remaining duration either directly or with earned value tracking system data. (preferred)Input and document scope change activities into the schedule (preferred)Independently perform the transformation of project estimating budget data into the cost breakdown structure and initiation of cost reporting tools/reportsPreparation, processing, and tracking of change orders to ensure cost report budgets are currentPerform Analysis and Forecasting of key cost categories by cost codeUse of Earned value data, CPM schedule data, and Risk/contingency data in updating and forecasting of project costsPerform monthly accrual of project costs and revenue for accrual method accounting and forecast developmentDevelopment and Presentation of Cost Status and Forecast Reports to both internal and external stakeholders.Facilitate/Lead risk workshops, Management of Risk Register, identifying potential project risks and developing mitigation strategies.Coordinate with project managers and other team members to ensure accurate and timely reporting of project status and performance metrics.Establish and maintain project documentation and records, ensuring compliance with company policies and regulatory requirements.Interface directly in CPM schedule software to extract data and perform routine updating/progressing of tasks.Basic Qualifications:Minimum of 6-10 Years experience working in project controlsMust have a bachelor's degreeDemonstrated ability to Use technical concepts and industry standard project management tools and techniques to effectively coordinate project control activities and functions to creatively and effectively solve complex problems and identify correlated data to inform decision making.Strong written and verbal communication skills.Strong attention to detail and accuracy.Ability to work across discipline teams to assimilate project data from various sourcesAbility to maintain a high level of confidentiality.AACE and/or PMI CertificationUnderstands the basic grammar/concepts of multiple professional disciplines and can work across discipline siloed teams to solve complex interrelated problems.Understanding of various contract structures Fixed Price, Unit Price, Cost Reimbursable and the implications that these structures have on project cost and revenue.Understanding of the fundamental concepts of accrual basis and double entry accounting.Familiarity with government contract reporting and FAR standards.Familiarity with Davis Bacon/Service Contract act and prevailing wagesProficient in Microsoft Office, especially Excel.Familiarity with Power BI Data and extraction of datasetsProficient working in JD Edwards or other ERP SystemCommunicating with internal and external project stakeholders and Interpreting project cost data at multiple levels of the organization.About APTIMAPTIM enhances the quality of the environment, wellbeing of people, resilience of communities, and opportunity for employees to make a difference, not just a living. Compensation depends on several factors including: experience, education, key skills, geographic location of the position, client requirements, external market competitiveness, and internal equity among other employees within APTIM.
