Accounting Specialist

The Accounting Specialist is responsible for supporting the day-to-day accounting operations of the organization with a focus on both Accounts Payable (AP) and Accounts Receivable (AR) functions. This position ensures the accurate processing of invoices, payments, collections, account reconciliations, and financial records while maintaining strong relationships with vendors, customers, and internal stakeholders. Position Summary The Accounting Specialist is responsible for supporting the day-to-day accounting operations of the organization with a focus on both Accounts Payable (AP) and Accounts Receivable (AR) functions. This position ensures the accurate processing of invoices, payments, collections, account reconciliations, and financial records while maintaining strong relationships with vendors, customers, and internal stakeholders. Essential Duties and Responsibilities Accounts Payable Process vendor invoices accurately and timely. Match invoices to purchase orders and receiving documentation. Verify coding, approvals, and supporting documentation. Prepare and process check runs, ACH payments, and wire transfers. Reconcile vendor statements and resolve discrepancies. Maintain vendor records and W-9 documentation. Respond to vendor inquiries regarding payment status. Assist with month-end AP close and accrual entries. Accounts Receivable Generate and distribute customer invoices. Post customer payments including ACH, wire, credit card, and check transactions. Research and resolve payment discrepancies. Monitor aging reports and follow up on outstanding balances. Initiate collection efforts on past-due accounts. Issue credits, refunds, and account adjustments as needed. Maintain accurate customer account records. Support cash application and account reconciliation activities. General Accounting Prepare account reconciliations and journal entries. Assist with monthly, quarterly, and year-end close processes. Maintain accurate financial records and supporting documentation. Assist with internal and external audits. Create and maintain financial reports and spreadsheets. Identify opportunities to improve accounting processes and internal controls. Ensure compliance with company policies and accounting standards. Qualifications Associate's or Bachelor's degree in Accounting, Finance, or related field preferred. 2+ years of accounting experience with exposure to both AP and AR functions. Strong understanding of accounting principles and procedures. Experience with ERP/accounting software (SAP, NetSuite, Oracle, Microsoft Dynamics, etc.). Advanced proficiency in Microsoft Excel. Excellent organizational skills and attention to detail. Strong analytical and problem-solving abilities. Effective written and verbal communication skills. Ability to manage multiple priorities and meet deadlines.
