Job Description JOB TITLE: Controller DEPARTMENT: Administration Department REPORTS TO: Executive Director STATUS: Full-time Exempt SALARY RANGE: $120,000-$140,000 Responsibilities Record all cash receipts and manage all revenue. Manage all bank accounts for all entities, maintain the bank account master list, and prepare internal and external transfers with approval. Prepare and maintain recurring journal entries, edit, and post them monthly. Prepare and maintain annual rent, and prepare the monthly accounting calendar. Maintain the chart of accounts for all fields in QuickBooks; prepare monthly closing schedules. Record all grant awards, allocate them to each department, and prepare monthly grant reports and RFPs as needed. Prepare monthly invoices for build‑out loans, manage all annual budgets and grant report budgets, and record annual reports and spending category reports. Maintain vendor files in QuickBooks; set up payroll, benefits, and taxes in QuickBooks; process and track all payments. Program‑related tasks: prepare monthly closings for subsidized rental assistance payments, broker fees, and moving costs; prepare monthly revenue receipts for J4H expenditure and consultant fees; prepare monthly billings for case‑manager medical billing reimbursements; prepare monthly billings for security‑deposit accounts receivable and accounts payable; provide final approval of all invoices in QuickBooks; review and reconcile grant and contribution revenues with the general ledger. Manage operating expenses and record all expenses. Prepare grant reports/RFPs, set budgets for grant RFPs, and oversee quarterly standing tasks. Meet monthly with the Director of Programs and Executive Director to reconcile grant and contribution revenue with the general ledger. Lead monthly Finance Committee meetings and prepare minutes; maintain invoice spreadsheets for SHARP expenses; edit monthly Board Meeting minutes; edit documents for the Executive Director upon request. Collaborate with Insperity payroll to assign employee payroll to the correct department; provide backup for payroll submissions and approvals. Asset Management: review monthly financial statements and send comments/questions to the Director of Programs; oversee audits: prepare work papers, track the audit cycle, maintain surplus cash distribution logs; obtain lender approvals for the release of distributions; prepare and submit invoices. Qualifications Bachelor’s degree in accounting, finance, mathematics, business administration, or a related field. At least 7 years of accounting experience. Experience with computerized ledger systems. Advanced knowledge of Excel and Word. Strong problem‑solving and analytical skills with attention to detail. Ability to function well in a team‑oriented environment. High level of professionalism, discretion, and confidentiality. Ability to interact and build strong relationships with staff at all levels in a fast‑paced, flexible, proactive, resourceful, and efficient environment. Benefits Medical insurance.
