Friends Place provides hope, support, and healing by offering personalized consultation for patients of all ages that are experiencing appearance changes following cancer treatment. Services include but are not limited to fittings for wigs, post-breast surgery bras and protheses, and compression garments.
Reporting to the Retail Manager, the Friends Place Practice Coordinator II is responsible for back-office operations of Friends Place; Ensures insurance eligibility and benefits verifications and prior authorizations are completed for patients of Friends Place; Carries out billing procedures to ensure revenue processes function properly; Cross covers for other Friends Place coordinators and team members. PRIMARY DUTIES AND RESPONSIBILITIES:
- Ensures the completion of prior authorizations. Verifies insurance eligibility and benefits. Compiles appropriate information for Access Management
- Works with providers and support staff at various institutions (DFCI, BWH, Emerson, etc.) to confirm prescriptions and provide superior service to patients
- Carries out specific processes in medical record system to ensure any special billing and revenue processes function properly
- Obtains detailed clinical information face-to-face, by telephone or electronically and ensures accurate data input into electronic medical record
- Places special product orders for patients. Follows up with vendors as needed
- Coordinates, processes and handles returns for special orders from patients and vendors
- Performs independent patient and call triaging. Assists in directing patient flow
- Serves as a liaison between patient/family/provider
- Utilizes appropriate reports to identify patients that require Infection Control precautions and take appropriate steps. Informs providers and staff of such patients by monitoring patient assignments
- Assures that cash-wrap supplies are adequate, and equipment is in proper working order
- Cross covers for other Friends Place staff
- May be responsible for mini-registrations, insurance verification and clinical intake for new patients
- May run department reports such as financial reconciliations, missing charges, next day appointment lists, other work lists
- May assist with aspects of patient financial assistance program
- Resolves issues within position responsibilities. Escalates issues to management as needed
- Recognizes emergencies and appropriately responds using standard operating procedures and critical thinking skills
- Adheres to all hospital and departmental policies regarding patient confidentiality and general program procedures
- Performs additional duties as assigned
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Knowledge of medical insurance and billing procedures
- Proficient in using Microsoft Office applications, POS Systems and medical record systems
- Excellent communication, organizational, time management, and customer service skills
- Excellent phone etiquette
- Strong attention to detail
- Demonstrated ability to multi-task, while being attentive to customers and patients
- Ability to work with all types of people
- Ability to adapt to and embrace change
- Ability to function as an integral member of a team
MINIMUM JOB QUALIFICATIONS:
- High school diploma/GED; Post-secondary education preferred
- 2 years of hospital administration, retail or related experience
- Experience with Microsoft Office and medical record systems
