Office Assistant

The City of Virginia Beach Department of Human Services is seeking to hire an Office Assistant for the Child and Youth Behavioral Health unit. The ideal candidate would have experience supporting a front office, which includes answering phones, responding to client and public questions, scheduling appointments and intakes, opening cases and tracking insurance authorizations.

Duties:

• Schedule and reschedule consumer appointments, which may require a high volume of phone contact.
• Coordinate medication pick-ups.
• Check consumers in/out.
• Confirm next day appointments.
• Adhere to Federal Confidentiality regulations and HIPAA requirements.
• Order supplies.
• Chart creation and opening in Anasazi
• Paper Chart Filing.
• Prepare letters to consumers regarding scheduled appointments.
• Accept and record client payments, total ledgers accurately, reconcile payments at end of day and lock receipts in safe at night.
• Assure all filing of clinical information and submission of billing information/activities are done accurately and within the time frame required.
• Provide clear verbal and written messages for clients and staff and give general information on agency services in response to public inquiries.
• Filing, copying, sorting and operating basic office equipment
• Stamp and route incoming mail

Minimum Requirements:

Minimum Qualifications: High school or GED plus one (1) year of experience in fields providing the required knowledge, skills, and abilities, such as clerical or office assistant; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities. Special Requirements: All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.
