JOB SUMMARY:
The Dental Clinic Manager is responsible for the operational leadership, development, implementation, and growth of dental services within the organization. This position plays a key role in establishing and expanding a high-quality, patient-centered dental program that supports the organization's mission and meets the oral health needs of the community. The Dental Clinic Manager provides leadership for daily dental operations while also focusing on strategic growth, patient access, provider productivity, staffing, workflow development, financial performance, quality improvement, and regulatory compliance. The Manager works collaboratively with dental providers, clinical leadership, operations, finance, and other departments to build a sustainable and growing dental service line. Essential Duties and Responsibilities: Program Development and Growth Lead the development, implementation, and expansion of dental services across the organization. Develop and execute strategies to increase patient access, utilization, and growth of dental services. Identify opportunities for new services, expanded locations, community partnerships, and innovative models of dental care. Develop operational plans to support the successful launch of new dental programs, providers, equipment, and locations. Monitor community needs and patient demand to identify opportunities for service expansion. Establish and monitor key performance indicators related to patient access, visits, productivity, revenue, quality, and program growth. Partner with organizational leadership to develop short- and long-term strategic goals for dental services. Promote integration of oral health services with primary care and other organizational programs. Operations Management Oversee the day-to-day operations of the dental clinic(s). Develop and maintain efficient systems, workflows, policies, and procedures to support high-quality patient care. Ensure appropriate scheduling practices that maximize patient access and provider productivity. Monitor appointment availability, no-show rates, cancellations, patient flow, and capacity utilization. Identify operational barriers and implement improvements to increase efficiency and patient satisfaction. Coordinate facility, equipment, supply, and technology needs for dental operations. Ensure appropriate inventory management and availability of dental supplies and materials. Work with vendors and organizational departments to maintain dental equipment and support operational needs. Financial and Performance Management Monitor dental department productivity, patient volume, charges, collections, revenue, and expenses. Develop and monitor departmental budgets in collaboration with organizational leadership. Identify opportunities to improve financial sustainability and operational performance. Monitor provider productivity and work collaboratively with providers and leadership to address barriers to performance. Participate in the development of financial projections and business plans for dental program expansion. Ensure appropriate processes are in place to support accurate documentation, coding, billing, and reimbursement. Review operational and financial data and prepare reports for leadership. Staff Leadership and Development Recruit, hire, train, supervise, and evaluate dental support staff. Develop staffing models that support efficient operations and program growth. Provide leadership, coaching, and professional development opportunities for dental staff. Promote a positive, collaborative, and patient-centered work environment. Establish clear performance expectations and accountability for staff. Address personnel concerns and performance issues in collaboration with Human Resources and organizational leadership. Support effective communication among dental providers, clinical staff, front office staff, and other departments. Quality, Compliance, and Risk Management Ensure dental services are delivered in compliance with applicable federal, state, local, professional, and organizational requirements. Maintain readiness for regulatory, accreditation, and program reviews. Develop and implement policies and procedures related to dental operations, infection prevention, safety, emergency preparedness, and quality. Monitor compliance with infection prevention and control standards applicable to dental settings. Participate in both clinic-wide and dental department quality improvement activities and use data to improve patient outcomes and operational performance. Support risk management and incident reporting processes. Ensure appropriate maintenance of licenses, certifications, equipment records, and required documentation. Patient Experience and Access Promote a welcoming, respectful, and patient-centered dental experience. Develop strategies to improve access to dental services, particularly for underserved populations. Monitor patient satisfaction and implement improvements based on patient feedback. Work collaboratively with other departments to address barriers to care, including transportation, insurance, financial assistance, language access, and care coordination. Support outreach and community engagement efforts to increase awareness and utilization of dental services. Collaboration and Organizational Leadership Work closely with the Dental Director, Chief Medical Officer, Chief Operating Officer, Qi Director and other organizational leaders to support the success of dental and other services. Collaborate with finance, billing, human resources, facilities, information technology, and other departments. Participate in organizational strategic planning and leadership activities. Represent the dental program in internal and external meetings, partnerships, and community initiatives as appropriate. Develop productive relationships with community organizations, schools, referral partners, and other stakeholders. Required Qualifications Bachelor's degree in healthcare administration, business administration, public health, or a related field preferred; equivalent combination of education and relevant experience may be considered. Minimum of three to five years of progressively responsible healthcare, dental, or clinic operations experience. Demonstrated experience managing clinic operations, staff, workflows, and performance metrics. Demonstrated ability to analyze operational and financial data and use information to improve performance. Strong leadership, communication, organizational, and problem-solving skills. Ability to manage multiple priorities in a dynamic and growing environment. Preferred Qualifications Experience in dental practice or dental clinic management. Experience developing, launching, expanding, or growing healthcare services Experience working with Medicaid and other public insurance programs. Knowledge of dental billing, coding, and reimbursement. Experience with quality improvement and regulatory compliance. Experience working in an FQHC, community health center, or other safety-net healthcare organization Key Competencies Entrepreneurial Leadership: Ability to build, develop, and grow a new or expanding service line.
