We are looking for a Corporate Contract Manager who will lead and oversee the Company's contract administration, compliance, and risk management programs. This role serves as the corporate authority on contractual compliance, subcontractor compliance, insurance, bonding, licensing, and regulatory requirements across multiple jurisdictions. The Corporate Contract Manager partners with executive leadership, project teams, accounting, human resources, and operations to establish best practices, mitigate risk, and ensure companywide compliance and consistency.

ESSENTIAL DUTIES MAY INCLUDE:

In the first 30 days and ongoing:

• Learn Eleven Western Builders' organizational structure, project lifecycle, contract administration processes, and compliance programs.
• Develop relationships with Executive Leadership, Project Managers, Accounting, Human Resources, Estimating, and Operations teams.
• Gain a thorough understanding of company contracts, compliance requirements, insurance programs, licensing obligations, and bonding procedures.
• Review current compliance and contract administration processes and identify potential improvement opportunities.
• Become familiar with company systems including document management, project tracking, and contract execution platforms.
• Assess current compliance controls, tracking mechanisms, and reporting procedures.

By the 90-day mark and ongoing:

• Independently manage contract administration and compliance activities across all business operations.
• Oversee subcontractor compliance programs, including insurance certificates, endorsements, licenses, permits, and required documentation.
• Administer corporate licensing, registrations, annual filings, and regulatory compliance requirements.
• Manage contract execution processes, contract tracking, renewals, amendments, and document retention.
• Serve as a key resource to project teams regarding contractual obligations and compliance requirements.
• Support internal and external audits while maintaining complete and organized compliance records.

Within the 6th to 9th-month mark and ongoing:

• Serve as the organization's primary subject matter expert for contract administration and compliance.
• Conduct audits of project files, subcontractor compliance records, insurance documentation, and contract administration activities.
• Monitor companywide compliance performance and provide recommendations to leadership regarding identified risks.
• Develop compliance scorecards, reporting tools, and performance metrics.
• Partner with insurance brokers, sureties, legal resources, and operational teams to support compliance objectives.
• Implement process improvements that strengthen compliance controls and operational efficiency.

By the 12-month mark and ongoing:

• Successfully oversee companywide contract administration and compliance programs with minimal supervision.
• Maintain standardized policies, procedures, and best practices related to contracts, insurance, bonding, licensing, and regulatory compliance.
• Provide strategic recommendations to leadership regarding risk management and compliance initiatives.
• Lead continuous improvement efforts that reduce risk and improve operational effectiveness.
• Provide mentorship and guidance to Contract Administration personnel.
• Serve as the final escalation point for complex contract administration and compliance matters.

 

EDUCATION, SKILLS & EXPERIENCE:

• Associate's or Bachelor's degree in Business Administration, Construction Management, Legal Studies, Paralegal Studies, or a related field preferred.
• Construction industry experience required.
• Minimum 3-5 years of experience in contract administration, construction administration, compliance, legal support, project coordination, or a related field.
• Experience reviewing, drafting, coordinating, and administering contracts and legal documents.
• Working knowledge of insurance certificates, bonding, contractor licensing, and compliance documentation.
• Experience with AIA contract documents preferred.
• Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Adobe.
• Experience with Procore, Sage 300, DocuSign, or similar construction and document management platforms preferred.
• Strong analytical, organizational, problem-solving, and communication skills.
• California Notary Public commission or willingness to obtain certification preferred.
