Assist the Chief Finance Officer in promoting efficient department operations, coordinate and monitor financial information, and offer secretarial support as requested. Minimum Qualifications High School diploma or GED required. Associate's degree in business, finance, or related field. At least four years of clerical experience with a minimum of two years of bookkeeping or other financial work. Knowledge, Skills, and Abilities Knowledge of general office procedures and etiquette. Record‑keeping and filing skills in hard‑copy or electronic systems. Fundamental computer operation, including office productivity suites. Use of internet and email programs. Understanding of financial protocols, reports, and spreadsheet formats. Proficiency with word processing, spreadsheet, and database applications. Customer service, communication, and phone etiquette. Attention to detail, precision, and accuracy. Ability to learn district software for department records. Education, Training, and Experience High School Diploma. Minimum of 48 hours of college coursework with a GPA of 2.0 or higher. Equivalent combinations of training and experience acceptable. Certification and License Requirements Valid driver’s license issued by the NC Department of Motor Vehicles. Preferred Qualifications Six years of administrative assistant experience with at least three years of bookkeeping. Spanish speaking proficiency. Essential Duties and Responsibilities Perform receptionist tasks as defined for the classification series. Answer building, department or district phone lines and route calls appropriately. Type routine correspondence, letters, forms, or drafts as requested. File forms, financial information, and documents according to established routines. Copy, fax, laminate, and duplicate requested materials. Execute clerical and record‑keeping functions with high accuracy. Enter financial data into district records or hard copies. Assist in compiling, researching, and revising financial reports. Secure the main office daily, turn off equipment, safeguard funds, and lock windows and doors. Prepare deposit receipts for the district/finance department. Collect and process payments for various building departments. Maintain professional expertise and attend training or staff meetings. Assist in special projects as required. Cross‑train in other administrative and support functions. Perform any related duties assigned by the Chief Finance Officer.
