Outpatient Coordinator

The Outpatient Services Coordinator provides administrative and operational support for the outpatient clinic, which may include patient-facing activities, scheduling, documentation, and coordination with clinic
staff and leadership. This position ensures the smooth day-to-day operation of the clinic and supports administrative initiatives as needed.

Essential Functions:

1. Performs a wide variety of administrative and operational duties as required for the daily operation of the outpatient facility, which may include patient-facing activities.
2. Facilitates communication between the Director of Outpatient Services, clinic staff, and key management personnel.
3. Supports routine administrative projects and initiatives for the Director of Outpatient Services, including research and analysis as needed.
4. Provides follow-up on assignments given to staff by the Director of Outpatient Services or facility leadership.
5. Performs specialized and complex administrative work requiring the use of independent judgment.
6. Completes assignments accurately, in a timely manner, and within established procedural guidelines.
7. Contributes to Performance Improvement initiatives as requested.
8. Performs other related duties as assigned, which may include operational or patient-facing responsibilities.

Requirements

Educational/Experience Requirements:

• High school diploma or equivalent required. Bachelor's degree in behavioral health, business administration, or related field preferred.
• Minimum of 1-2 years of office-based administrative experience, preferably in a healthcare or outpatient clinic setting.
• Knowledge of healthcare operations, insurance verification, or medical terminology preferred.

• Strong verbal and written skills.
• Must be well organized, flexible, and responsible.
• Must be able to communicate knowledge in an educational arena.
• Must be proficient in Microsoft Office products.
• Must be able to work tactfully and cooperatively with a variety of internal and external customers.
• Demonstrates age specific and cultural sensitivity towards internal and external customers.
• Organizes own work, coordinating projects, setting priorities, meeting deadlines, and following up on assignments with a minimum of direction.
• Demonstrates working knowledge of the organization's departmental procedures.
• Must successfully complete Basic Life Saving (BLS) certification and an Oceans approved behavioral health de-escalation program.

Work Enviroment:


Subject to many interruptions. Occasional pressure due to multiple calls and inquiries. This position can be high paced and stressful; must be able to cope mentally and physically to atmosphere. Work requires spending approximately 90% or more of the time inside a building that offers protection from weather conditions but not necessarily from temperature changes.
