Position Summary The Manager of Welcome Center & Family Access is responsible for the day-to-day operation, coordination, and continuous improvement of the district's centralized Welcome Center and family-facing access systems. This role ensures that all families experience a clear, efficient, welcoming, and supportive entry point into the school district. The Manager oversees registration support, family assistance services, and front-line communication systems, ensuring that families can easily access information, enroll students, and connect to services. This position plays a critical role in shaping the district's first impression and ongoing relationship with families, ensuring that access is equitable, responsive, and aligned to enrollment, attendance, and student support priorities. Certification Requirements High School Diploma or equivalent Required criminal history background check, physical and proof of U.S. citizenship or legal resident alien status A valid driver's license or state issued ID, valid insurance and registration Preferred / Additional Qualifications Associate's or Bachelor's Degree in business administration, public administration, education, or related field Experience in customer service management, public-facing service systems, or school operations Bilingual proficiency strongly preferred. Qualifications High School Diploma required; Associate's or Bachelor's Degree preferred Minimum: Three (3) years of experience in customer service, office management, enrollment, or related field Two (2) years of supervisory or team leadership experience preferred Demonstrated expertise in: Customer service systems and front-line operations Managing high-volume service environments Family support and communication Strong ability to: Organize and manage workflows Resolve issues quickly and effectively Maintain a welcoming and professional environment Experience working with diverse communities and populations Core Responsibilities Welcome Center Operations (OWNER) Oversee daily operations of the district's Welcome Center. Ensure efficient, organized, and welcoming service delivery Family inquiries Registration support General assistance Ensure consistent, high-quality service for all families Family Access & Customer Service Systems (OWNER) Ensure families can easily access district services and information. Establish and maintain a family-centered service model Ensure all interactions are: Clear Respectful Timely Reduce barriers to access for families Registration Support Coordination (OWNER) Support enrollment and registration processes. Coordinate with Enrollment Department to support: Student registration Documentation collection Family guidance Ensure seamless handoff between Welcome Center and enrollment teams Front-Line Staff Supervision & Development (OWNER) Lead and manage Welcome Center staff. Supervise front-line staff and ensure strong performance Provide training on: Customer service Communication Systems and processes Ensure consistent messaging and service delivery Family Issue Resolution (OWNER) Ensure effective and timely resolution of family concerns. Address and resolve issues related to: Enrollment School access Services and support Escalate complex issues as needed Track and monitor recurring issues Data Monitoring & Service Metrics (OWNER) Track and improve performance of family access systems. Monitor key indicators: Wait times Service completion time Family satisfaction Use data to improve operations Report trends to leadership Alignment with Enrollment, Attendance & Student Support (OWNER) Ensure family access supports district priorities. Coordinate with: Enrollment (registration and access) Attendance (family engagement for attendance) Student Support (referrals and services) Ensure families are connected to appropriate resources Communication & Information Access (OWNER) Ensure families receive accurate and accessible information. Provide clear guidance on: Enrollment processes School programs District services Improve Welcome Center operations and family experience. Identify inefficiencies and barriers Implement improvements to systems and processes Enhance overall family experience Cross-Departmental Coordination (NES Integration) Coordinate with Family Engagement, Enrollment, and Data teams Ensure consistent processes and communication Support a unified family experience Other Duties Perform such other duties as assigned by the Superintendent or designee in accordance with law and regulation. Workflow and Operating Expectations Daily: Manage Welcome Center operations Support families and resolve issues Review service metrics and staff performance Coordinate with departments Monthly: Analyze trends and identify improvements Report to leadership Accountability Measures Quality and efficiency of Welcome Center operations Family satisfaction and service experience Timeliness of service delivery Reduction of barriers to access Alignment of services to enrollment and district priorities Core Competencies Customer service and operations management Communication and relationship-building Problem-solving and responsiveness Organization and workflow management Cultural responsiveness and empathy Leadership and team development Terms of Employment Twelve-month position. Salary, benefits, and conditions of employment shall be in accordance with Board policy and applicable agreements. Evaluation Performance shall be evaluated annually in accordance with Board policy, administrative regulations, and district procedures. Reports To Executive Director of Family & Community Engagement Work Year Twelve (12) Months Classification Non-Affiliated / Confidential / Managerial Minimum Starting Salary: $90,000.00 Maximum Starting Salary: $115,000.00 Residency Requirement Under New Jersey's "New Jersey First Act" (N.J.S.A. 52:14-7), all employees of New Jersey public school districts must maintain bona fide New Jersey residency as a condition of employment. Candidates must already reside in New Jersey or establish residency within the required timeframe after hire. Current employees who were hired on or before September 1, 2011 are exempt from this requirement and may continue to reside outside the state. In limited circumstances, applicants may request a residency waiver through the state's Employee Residency Review Committee if they can demonstrate critical need or hardship; approval is not guaranteed.
