Office Manager - GYN Specialties Work where every moment matters. Hartford HealthCare Medical Group is one of the largest medical practices in New England with multiple locations throughout Connecticut and Rhode Island. Responsibilities Organize and coordinate office operations, procedures and resources to facilitate organizational effectiveness and efficiency. Provide day‑to‑day operational, technical and problem‑solving leadership on administrative matters including patient flow, office operations, customer service, health insurance, billing/coding requirements, and EMR functionality and utilization. Supervise administrative and clinical staff and practice operations including scheduling, workflow, service delivery and employee performance. Support the continued growth of Gynecology specialties (MIGS, Menopause care, Gender Health, Family Planning, Women’s Health Behavioral Health) and support the Inpatient GYN APs, OB APs, and Hospitalist program. Model efficient operation by scheduling and assigning work, resolving processing problems, collecting data to monitor progress, and carrying assigned workload or filling in as necessary. Develop and maintain office & departmental budgets and KPIs; recommend budget expenditures and monitor progress. Implement and monitor departmental goals and objectives; analyze needs and develop recommendations aligned with the strategic direction of the organization. Ensure all staff communicate with patients courteously, respectfully, and businesslike; hold staff accountable for customer service standards; intervene and take appropriate action when incidents occur. Implement individual performance expectations; complete all aspects of employee performance appraisals and reviews. Interview candidates and make hiring decisions; orient new hires and provide ongoing training and education. Manage employee performance and disciplinary issues; participate in counseling sessions/disciplinary actions, involving Practice Director as necessary. Coach employees to succeed in contributing to individual and work group objectives. Maintain and adjust staff schedules to complement practice provider schedules; process time worked/attendance into Kronos for office staff. Manage and coordinate vacation and personal time off to ensure minimum disruption of practice operations. Maintain effective, positive customer service relationships by responding to customer needs, resolving conflicts, and educating employees on customer service. Communicate effectively with staff, management, and customers; facilitate the flow of information necessary for success. Promote teamwork within the practice through timely and collaborative communication with medical staff. Oversee West Hartford, Torrington, Glastonbury and future site in Southington; attend Women’s Health manager meetings in Hartford. Qualifications 3 years’ experience in a medical/surgical practice. Bachelor’s Degree and/or appropriate certification (preferred). Previous management/supervisory or leadership experience (preferred). Epic experience (preferred). Strong communication skills and experience in a leading role (required). Ability to improve quality and productivity by identifying improvement opportunities. Knowledge of age‑specific patient needs (e.g., Pediatrics, Adolescents, and Geriatrics) (preferred).
