Referral & Intake Coordinator

We are seeking a compassionate, detail-oriented Referral & Intake Coordinator to serve as the first point of contact for families and referral partners seeking therapy services. In this vital role, you will guide families through the intake process, coordinate referrals, maintain accurate records, and ensure a positive, seamless experience from initial inquiry through enrollment. What we offer: Live and on demand Professional Development opportunities Medical, Dental, and Vision Plans Paid Holidays, Vacation, Sick, and Personal Time Several Supplemental Insurance Policies Employee Assistance Program 401(k) Savings Plan Easterseals Cares Wellness Program Work Life Balance The Opportunity to Make a Difference in the Community and the Organization A Snapshot of What You’ll Do: Serve as the first point of contact for families and referral sources seeking therapy services Receive, process, and coordinate referrals from a variety of sources Guide families through the intake and enrollment process, providing exceptional customer service and support Collect, verify, and accurately enter client, referral, and insurance information into the electronic health record system Verify insurance and payer information to support service authorization and billing Collaborate with families, physicians, therapists, and referral partners to obtain required documentation and coordinate services Maintain accurate records and ensure compliance with HIPAA and organizational standards Support scheduling, reporting, and other intake-related activities to ensure a seamless experience for families What We're Looking For: High School Diploma or GED Previous customer service, healthcare, administrative, intake, scheduling, or related experience Strong organizational skills with exceptional attention to detail Excellent verbal and written communication skills Ability to manage multiple priorities in a fast-paced environment Experience working in a healthcare, therapy, medical office, or human services environment Knowledge of Medicaid, insurance verification, or referral processes Experience with electronic health record (EHR) systems Proficient in Microsoft Office applications, internet navigation, database systems, and electronic health record (EHR) software Bilingual English/Spanish preferred Why Join Our Team?
