The Estimating & Sales Operations Specialist supports the sales team by preparing accurate and timely quotes, assisting customers, and coordinating sales activities with internal manufacturing teams.

This position is an important connection between customers, sales, and operations. The ideal candidate is detail-oriented, organized, responsive, and comfortable working in a manufacturing environment. The ability to understand customer requirements, prepare accurate quotes, communicate effectively, and follow through on tasks is essential.

Experience with process improvement, workflow optimization, and data analytics is a  plus, but is not required . Candidates with strong estimating, quoting, sales support, customer service, or manufacturing experience are encouraged to apply.

Salary starting at $55,000 and will commensurate with experience

Key Responsibilities

1. Quoting & Estimating

• Prepare accurate and timely quotes for products and services based on customer requirements and company pricing structures.
• Review customer specifications, drawings, and requirements to support quote development and order accuracy.
• Work with internal departments to confirm pricing, lead times, material requirements, and manufacturing capabilities.
• Ensure quotes are complete, accurate, and aligned with customer requirements and company guidelines.
• Follow up on open quotes and assist with maintaining an organized quoting process.
• Help identify potential issues or missing information that could impact pricing, lead times, or order requirements.

2. Customer & Sales Support

• Support the sales team with quotes, proposals, order processing, customer information, and general sales activities.
• Respond to customer inquiries and coordinate timely follow-up.
• Maintain professional and responsive communication with customers and prospective customers.
• Assist with resolving customer questions related to quotes, pricing, orders, and lead times.
• Track open quotes and follow-up activity to support sales efforts.
• Provide administrative and operational support to the sales team as needed.

3. Manufacturing & Cross-Functional Coordination

• Work closely with sales, customer service, production, purchasing, and other internal departments.
• Gather information needed to accurately quote customer requirements.
• Develop an understanding of company products, manufacturing processes, capabilities, and production workflows.
• Ensure customer requirements are clearly communicated to the appropriate internal teams.
• Coordinate with production and other departments when questions arise regarding specifications, pricing, materials, or lead times.
• Help ensure customer expectations are met throughout the quoting and order process.

4. ERP & Sales Operations

• Maintain accurate customer, pricing, product, quote, and order information within the ERP system and related software.
• Enter and maintain sales and quoting information accurately and consistently.
• Assist with customer and product data maintenance.
• Support data cleanup and accuracy initiatives.
• Learn and utilize company systems to support efficient quoting and sales operations.
• Assist with general sales operations and administrative tasks as needed.

5. Process Improvement & Workflow Optimization — Desired, Not Required

• Identify opportunities to improve the efficiency, accuracy, and consistency of quoting and sales processes.
• Assist with identifying workflow bottlenecks, inefficiencies, and communication gaps.
• Help develop and maintain standardized procedures, templates, and documentation.
• Participate in process improvement initiatives when appropriate.
• Collaborate with internal teams to improve quoting processes and turnaround times.
• Experience with process improvement, workflow optimization, Lean manufacturing, or continuous improvement is desired but not required.

6. Data Analytics & Reporting — Desired, Not Required

• Assist with tracking quoting and sales metrics such as quote volume, response times, conversion rates, win/loss trends, and margins.
• Assist with recurring reports, dashboards, and KPI summaries as needed.
• Review sales and quoting information to identify trends or opportunities.
• Provide basic reporting support to management when needed.
• Experience with data analytics, reporting, dashboards, or business intelligence tools is desired but not required.

Education

• High school diploma or equivalent required.
• Associate degree in business, manufacturing, operations, or a related field preferred.

Experience

• Previous experience in estimating, quoting, sales support, customer service, or manufacturing operations preferred.
• Manufacturing, industrial distribution, metal fabrication, or related industry experience is highly desirable.
• Experience working directly with customers and internal manufacturing teams is a plus.
• Experience with ERP systems, CRM tools, or quoting software preferred.
• Experience with process improvement or workflow optimization is desired but not required.
• Experience with data analytics, reporting, or business intelligence is desired but not required.

Additional Qualifications

• Familiarity with manufacturing processes, production workflows, and customer order fulfillment is preferred.
• Ability to read and understand basic manufacturing drawings or specifications is a plus.
• Exposure to Lean manufacturing, continuous improvement, or workflow optimization is a plus, but not required.
• Data analytics, reporting, dashboard development, or business intelligence experience is a plus, but not required.
