Assistant Community Manager - Ascend at Pena Station

Job Description This role supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community by completing accounting and bookkeeping tasks, preparing monthly close‑out and financial reports, processing invoices for payment, collecting rent, fees, and other payments, completing bank deposits, dispositions, and account reconciliations, and using the property management software to record, track, and report on all financial workings of the community. Responsibilities Complete daily financial transactions and tasks, including collecting and posting rent, fees, and other payments, preparing daily bank deposits and reconciling bank accounts, preparing financial reports, and processing invoices and payables. Operate the property management software (Yardi/OneSite) and ensure accurate data entry, updates, and backups. Review resident files and accounting records to determine unpaid and/or late fees, communicate with residents about balances, implement collection procedures, and enforce leases to maximize revenue. Review and submit vendor, contractor, and service provider invoices for payment, reconcile work performed or products purchased, obtain community manager approval, code charges appropriately, and manage communication among vendor, accounting, and client/owner. Follow eviction procedures, including notice requirements, eviction of residents, and representation in court hearings and proceedings. Process resident move‑outs, applying appropriate deposit and lease cancellation fees, and dispose properties per established procedures and legal requirements. Promote resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner and taking appropriate action to resolve service issues. Act as the on‑site supervisor in the absence of the community manager by organizing and delegating daily work, coordinating maintenance and make‑ready tasks, and ensuring operations comply with company policies. Assist in managing the client/owner relationship by meeting with owners, conducting community tours, providing performance updates, and responding to owner requests. Assist and/or support leasing and marketing efforts: greet prospective residents, gather information via Guest Card, show ready apartments, complete lease deposits, and assist with rental application and credit verification. For California only: review all completed move‑in files before submission to the community manager for approval. Qualifications Required: Bachelor’s degree in Business Management, Communications, or related field. 1-3 years minimum of relevant experience in residence life and/or property management, demonstrating skills in community management, sales, marketing, and customer service; ability to manage day‑to‑day operations, resolve complaints, maintain financial records, increase sales revenue, and coordinate teamwork. Understanding of lease terms and lease enforcement, including collections. Excellent written and verbal communication skills. Detail‑oriented, self‑motivated, able to work independently and collaboratively. Specialized Skills Must hold all licenses and/or certifications required by state and local jurisdictions. Valid driver’s license to operate a golf cart on the property. Proficiency in Internet, word processing, spreadsheet, and database management programs. Strong proficiency using property management software (Yardi, OneSite, Entrata, etc.). Travel & Physical Demands Work in an office environment with occasional exterior exposure to elements. Physically access all interior and exterior property areas and amenities. Push, pull, lift, or maneuver weights of up to 20 pounds independently and 50 pounds with assistance. Local travel may be required for bank deposits, training, or other responsibilities; rare or occasional travel may be required for meetings or training programs. Compensation & Benefits Hourly rate: $25-$28; additional compensation may include quarterly or annual bonus (corporate) or weekly/monthly/quarterly bonus (onsite).
