Executive Assistant

Overview The Executive Assistant will provide high‑level administrative support and overall administration for two to three executives at YearUp United. The role requires independent, efficient, and professional management of executive schedules, communications, travel, and internal/external stakeholder interactions. Key Responsibilities Provide executive support, including directing incoming calls, visiting guests, scheduling meetings and conference calls, proactively managing emails and calendars, arranging travel, and processing expenses. Follow up on calls, emails, and other communications on behalf of the executives. Maintain open communication flows among internal teams, partners, and collaborators, actively developing relationships across the organization. Manage logistics for internal and external meetings, preparing information, coordinating schedules, ensuring meeting space and technology are available. Support the cultivation of ongoing relationships by following up on contacts made by executives. Assist executives in preparing presentations, speeches, press events, and general meetings. Collaborate closely with Executive Operations staff and senior leadership as needed. Take a proactive role in increasing productivity, efficiency, and organization, ensuring time focuses on the organization’s and senior team’s highest priorities. Demonstrate independent judgment and move activities forward on your own when possible. Serve as a coach/mentor for current students and facilitate weekly group sessions, as required. Qualifications Minimum 6‑8 years of senior Executive Assistant experience with proven ability to anticipate and fulfill the needs of senior corporate leaders. Outstanding time‑management skills, with a track record of multitasking and juggling short‑term and long‑term projects. Proficiency in Microsoft Word, PowerPoint, Outlook, Salesforce, and Concur preferred; Excel experience also desired. Comfort with new technology and troubleshooting technical equipment, including audio/visual and conference call setups. Sound judgment, maturity, and discretion with sensitive and confidential information. Positive attitude, strong work ethic, independent disposition, and willingness to accomplish tasks. Excellent interpersonal, written, and verbal communication skills. Passion for working with young adults and commitment to YearUp United’s mission to advance equity for young adults. Understanding of the Opportunity Divide and commitment to diversity and inclusion. Salary Range $80,000–$105,000, depending on location, experience, and skills. Open‑hybrid work model – employees are expected to work onsite at least two days per week starting January5,2026. Compensation & Benefits Comprehensive healthcare and dental coverage; 401(k) match for eligible participants. Earn three weeks of paid vacation in the first year and four weeks thereafter.
