Client Service Coordinator

Job Summary The Client Service Coordinator (CSC) drives the flow of clients and pets through the hospital, maximizes the productivity of the veterinary medical team, ensures clear communication with associates and clients, and coordinates client and pet care in a welcoming, efficient manner. The CSC helps keep clients satisfied so they return and refer others. Responsibilities Live and exemplify the Five Principles of Mars, Inc. within self and team. Actively recruit new clients by promoting hospital services and route the flow of clients and pets for superior care and maximum team productivity. Maximize the number of pets seen by efficiently running the hospital to support wellness plan clients. Provide professional, efficient and exceptional service at all times: welcome clients and pets, ensure comfort, and educate them about pet health. Educate clients about Optimum Wellness Plans, preventive care, pet health needs and hospital services. Assist incoming clients by completing required documentation, entering pet information, using proper collars and tags, and ensuring prompt service. Assist outgoing clients by providing instructions, invoices, dispensing prescriptions, selling retail products and scheduling appointments. Manage finances by maintaining accurate balances and following opening and closing procedures. Perform administrative functions as needed. Other duties as assigned. Qualifications High school diploma or equivalent (preferred). Minimum of one year of related experience (customer service preferred); veterinary tech or related medical background preferred. Must be at least 18 years old for duties involving radiography. Strong customer focus, peer relationships, integrity, action orientation, and listening skills. Preventive care knowledge, effective communication, client service skills, priority setting, and time management. Excellent written and verbal communication in English. Organizational and problem‑solving skills with a systematic approach. Proficiency with computers and common office software (Word, Excel, Outlook). Ability to multi‑task, manage distraction, and maintain accuracy. Ability to work long periods at a computer, handle pets, work weekends and evenings, and lift up to 50 pounds.
