RATE OF PAY: Per MESPA Contract with additional GSRP stipend

REQUIRED QUALIFICATIONS:

1. High school diploma or equivalent.
2. Experience working with children.
3. Excellent time management and organizational skills.
4. Excellent communication and language skills, both written and verbal, including telephone use.
5. Advanced ability to interact effectively with school staff and administration, interact effectively with all students and their parents, and respond to customer needs in a timely manner without artificial timelines.
6. Ability to work well with the public.
7. Excellent computer skills utilizing Windows-based computers, Microsoft Office and Google Suite.
8. Excellent book-keeping/money management skills, including computational mathematics.
9. Ability to follow sequenced directions and use standard office equipment.
10. Ability to plan, organize and run building events.
11. Advanced typing speed and accuracy skills.
12. Proofreading skills.
13. Analytical ability to interpret and apply appropriate rules, regulations, policies, and procedures to individual situations.
14. Ability to use discretion and sound judgement in handling confidential information and documents.
15. Mental ability to adapt and respond to multiple priorities and demands, adapt to interruptions, work on several projects at the same time, work on tasks requiring accuracy and attention to detail, and handle pressures related to multiple deadlines.
16. Ability to take initiative and work in a fast-paced environment.
17. Other skills the Board may find appropriate and acceptable.

PREFERRED QUALIFICATIONS:

1. Associate's degree.
2. Experience with local and state software programs (i.e. MICRs, michiganpreschool.org), student management systems (i.e. Powerschool) web development tools, and social media and online content management, or willingness to learn.
3. Experience in a school office.
4. PreK and/or Elementary school work experience and knowledge of PreK and/or Elementary School programs.
5. Three to five years in general office work and/or training or equivalent preferred.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Act as the face of our PreK through Grade 2 building, creating a welcoming environment by greeting families, children, community members, and other visitors with kindness and a positive attitude.
2. Perform the usual office routines and practices associated with a busy yet productive office at an approved pace, including handling emails communications, answering phones, providing information, maintaining files, sorting/distributing mailings, providing assistance to staff on the usage and repair of equipment/facilities, and ordering supplies/materials/equipment.
3. Serve as confidential secretary and administrative assistant to the assigned administrator(s), assisting with building operations and bookkeeping needs.
4. Receive and route incoming calls and respond to inquiries from the public, staff, and students.
5. Compose, prepare, and edit a variety of written material such as letters, newsletters, presentations, flyers, brochures, student records, reports, memorandums, budgets, monthly statements, committee materials, etc., from rough drafts or corrected copy. Utilize digital forms of communication to streamline staff paperwork.
6. Create and maintain databases and files using student software to manage data and generate reports, attendance, discipline, assessment and student technology. Communicate with parents, students, and staff regarding these issues.
7. Coordinate student enrollment PreK-Grade 2, and the preparation and maintenance of preparing of student reports, records, and files, which are confidential in nature.
8. Facilitates successful interactions with outside agencies and departments. Responds to record or informational requests in a timely and organized manner.
9. Maintain a log of visitors to the school and maintain appointment schedules.
10. Support maintenance of the school website, online calendar, and social media presence.
11. Coordinate substitute staff and staff support.
12. Assist teachers/coaches/administrators/counselors in preparing instructional, promotional, informational or athletic materials as requested, including inventorying and ordering curriculum, handling cash, and keeping records.
13. Organize and maintain building activity accounts, fundraising forms, and departmental orders/finances.
14. Administers medication according to policy and regulations.
15. Schedules events, facility use and administrator access. Coordinates with other district entities to ensure efficient and equitable building use.
16. Plans, organizes, and leads events for building and/or programs. Duties may include, but are not limited to, coordinating logistical arrangements (room, food, equipment, etc.), providing on-site support, preparing/assembling required materials, monitoring event registration and collection of fees, applying for continuing education credits, logging training hours for staff, and providing follow-up to presenters and participants.
17. Participates in training sessions as necessary.
18. Some evening and weekend work may be required. Attends buildings and program events as needed.
19. Other related duties as assigned or requested by the building principal/supervisor, as this job description is subject to change.
