About the Opportunity The primary purpose of this position is to represent the payroll service center as a Payroll Resource/Specialist by providing support, guidance, and effective communication to a portfolio of field operations executive directors (or delegates), HR representatives, and payroll staff. You will oversee payroll functions for affiliated companies across multiple states in skilled nursing and assisted living markets, ensuring high‑integrity customer service and timely communication of payroll policies and procedures. Additionally, you will coordinate related HR and benefits service with the relevant service center teams. Responsibilities Represent the payroll service center by providing support, guidance, and effective communication to field operations HR and payroll representatives. Oversee and support payroll functions for a portfolio of assigned affiliated companies, spanning multiple states. Develop relationships and foster ongoing partnerships with key stakeholders across operations field leadership, HR, benefits, payroll, and IT/Sys within the portfolio. Provide professional customer service and timely ongoing communications with operations staff in support of all payroll policies and procedures; coordinate related HR and benefits service with service center teams. Assists, researches, and provides guidance on field payroll questions regarding timecards, payroll statements, tax elections, payment elections, and annual tax documents. Coordinates operational field requirements for shift differentials and incentive pay programs; partners with payroll manager, team lead, and IT/Systems to implement requested changes. Assists and provides guidance on standard and ad‑hoc payroll reporting to field operations staff. Administrative Functions Administers, collects, and records pay‑period control document sign‑offs for all assigned affiliated companies. Researches, coordinates, and resolves routine pay‑period banking exceptions for checks and ACH errors and reissues. Consults with the garnishment/withholding order team to process periodic adjustments when directed. Performs pay‑period audits, controls, and reconciliations; resolves any issues, errors, or exceptions promptly. Ensures periodic checklists, tasks, audits, and controls are completed timely and accurately for all assigned companies to support centralized payroll close. Assists/coordinates training of new and/or backup field HR payroll representatives; works closely with the service center training resource to identify, schedule, and follow up on training needs. Processes/coordinates on‑demand off‑cycle check requests (mis‑pay, retro, adjustments, bonuses, incentives, miscellaneous items) for assigned companies. Processes/coordinates on‑demand off‑cycle check requests for terminations; ensures compliance with company policy, federal, state, and local regulations. Processes/coordinates and oversees requested payroll input adjustments; ensures compliance with company policy and regulations. Processes/coordinates and oversees requested time‑card adjustments; ensures compliance with company policy and regulations. Processes/coordinates and oversees requested time‑off adjustments; ensures compliance with company policy and regulations. Maintains confidentiality of all payroll information. Special projects and duties, as assigned. Qualifications Associate’s degree or higher preferred. Minimum 1+ year(s) experience supporting payroll and/or payroll processing. Experience levels: Level I – 1 to 2 years payroll experience Level II – 3 to 7 years payroll experience Level III – 7+ years payroll experience Must be able to manage multiple priorities and multi‑task effectively on a daily basis. Must be able to work in a payroll environment with constant timelines and deadlines. Workday Payroll and Time Tracking experience highly preferred. Previous customer service experience for a large employer is a plus. Proficient with MS Word and MS Excel. Must possess the ability to examine and verify payroll documents and reports. Must be able to prepare payroll reports and other records systematically, neatly, and legibly. Additional Information Pre‑employment criminal background screening required.
