Accounting Specialist - Payments, Reimbursements & Cash

The Accounting Associate serves as a welcoming first point of contact for employees and students of the College. This position assists employees and students on a daily basis with their purchasing and reimbursement requests, processes petty cash requests, maintains a cash drawer, and answers phones.Essential FunctionsThe following list of duties is meant to be representative of the work performed in this position. The omission of a specific duty or responsibility will not preclude it from the position if the work is similar, related or a logical extension of position responsibilities.Work with accounts payable coding invoices and verifying proper account numbersReview requisitions and reimbursements for proper approval and supporting documentationAssist with reconciling Purchasing card transactionsAssist with maintaining the electronic workflow process for purchasingAssist Accounts Payable Coordinator with organizing checks and preparing them for mailingAssist students with setting up direct deposit for refunds and reimbursementsReconcile the daily cash drawerManage vendor onboarding and maintaining current addressesAssist student organizations with agency account activity reportsAssist department heads with budget questionsReview and process the Office of Advancement contributionsIssue receipts to customersPrepare and post journal entriesPrepare daily IC store depositsAssist with audit requests and reconciliationsCollaborate with the campus on billing third parties for rental of facilities and eventsFunction as a substitute for the Accounts Payable Coordinator, as necessaryQualificationsAssociates or Bachelors degree preferred, or 5+ years of Accounting and Financial experienceIntercultural competency; ability to work with individuals of diverse backgroundsAdvanced level of detail orientation, trustworthiness, and confidentiality requiredAbility to develop and maintain collaborative working relationships, engage in creative problem-solving and extend enlightened hospitality when working with othersAbility to communicate effectively, both orally and in writingProficient in Microsoft Excel and WordEffective time management and prioritization skillsAdditional Job Details:Job Title: Accounting AssociateDepartment: Accounting ServicesReports to: ControllerStatus: Full-time, HourlySalary Range: $17.00 - $21.00Benefits Information: To view benefit information related to this position, please visit this link.About Illinois College:Illinois College is a residential, private liberal arts college located in the heart of Illinois, 70 miles northeast of Saint Louis, Missouri, and 30 miles west of Springfield, the capital of Illinois.
