Center Operations Specialist

Overview The Center Operations Specialist is responsible for executing day-to-day operations of one or more USO Centers, providing excellent customer service, and maintaining a safe, friendly, and inviting environment for service members. The role may also assist in designing, delivering, and evaluating high-quality, self-sustaining and cost-efficient programs, events, and activities in locations surrounding the Center(s). Responsibilities Execute day-to-day Center operational procedures to maintain a cost-effective, safe, welcoming, and clean environment. Monitor and maintain facilities and equipment to ensure readiness. Enforce sanitary and food-handling guidelines and regulations. Engage with Center visitors and serve as a subject matter expert about amenities, tours, classes, programs, and services; troubleshoot issues as needed. May direct and manage vendors. Assist with maintaining operations within budget. Monitor and report on inventory, handle cash, and provide data for financial, operational, and statistical reports. Prepare ad hoc reports as required. Create and maintain a Standard Operating Procedure file detailing local operational procedures and Center activities for prompt reporting and easy rotation. Plan and oversee, or assist in planning and executing, operational areas which may include programs, logistics, inventory management, budget, social media, and database management. Support communications and awareness of operations and programs. Prepare announcements, stories, and photos for social media, local media, and website publications, ensuring content follows USO media guidelines. Coordinate the planning and evaluation of new and existing USO programs, activities, and events on and off US military installations, ensuring they are effective and run efficiently. Assist in reviewing USO program and service needs within the assigned area and help implement resulting program or event changes. Develop and maintain working relationships with the U.S. Military, local community leaders, partners, donors, and media representatives to support program delivery. Coordinate with Center colleagues to ensure resources including volunteers, materials, and supplies are available for all programs and activities. Serve as a resource to colleagues and oversee volunteer participation. Communicate key information to volunteers (e.g., shift openings, policy changes, development opportunities) and maintain reports from the volunteer database (hours, applications, etc.). Direct prospective volunteers through the application process. Coordinate on-the-job training for volunteers. Implement volunteer recognition events and submit nominations as required. May be required to operate a USO or personal motor vehicle. Other duties as assigned, including backfilling for Center Operations Manager or other positions, as directed by senior leaders. Job Specifications and Qualifications High School Diploma or equivalent. 2+ years of experience in event management, marketing, retail, customer service, recreation facility, or related role. Experience in a nonprofit, military, multicultural, and/or global organization is preferred. Strong interpersonal, customer service, and problem-solving skills. Ability to interact with USO Leadership, the public, and military audiences with integrity and professionalism. Proficiency with computers and electronics; working knowledge of Microsoft Office Suite. Experience with volunteer management software and social media platforms. Digital Cheetah experience preferred. Ability to exercise sound judgment on controversial or culturally sensitive subjects and to handle confidential information with tact. Ability to show initiative, self-motivation, and attention to detail with the ability to manage multiple projects and priorities. Adaptability to changing organizational needs. Ability to work collaboratively in a team environment and achieve results. Ability to perform basic math and follow cash/donation handling and reporting procedures, including budgeting and project management. Willingness and ability to work non-standard hours as needed. General knowledge of military community preferred. Ability to obtain and maintain credentials to access USO Center locations and facilities (security, background checks, SOFA status, valid driver’s license). Ability to obtain and maintain a valid United States passport and valid foreign driver’s license (where applicable). Must be a strong advocate of the USO’s mission. Details This position is located in Great Lakes, IL. Preference will be given to local candidates within commuting distance to the location. Salary range: $48,300–$69,000.
