Ancon is a contracting and staffing firm providing professional support services to Government agencies nationwide.
This position is 100% on-site at our Government customer’s facilities. Employees should expect to work at both the customer’s headquarters in Southwest Washington, DC, and its Beltsville, Maryland campus throughout the workweek, based on operational needs. Remote work is not available unless specifically authorized by the Government.
Position Summary
The Project Manager provides overall leadership, contract management, workforce development, and operational oversight for Ancon’s Executive Services support team of approximately 8–12 personnel.
Serving as Ancon’s on-site leader and primary interface with Government leadership, the Project Manager is responsible for staffing, workload management, quality assurance, performance reporting, customer engagement, risk management, contract compliance, employee development, and successful execution of the Government customer’s Executive Services mission.
The Project Manager oversees contractor support across the following Executive Services operational functions:
- Executive Event Operations
- Meeting and Conference Operations
- Facility Readiness and Logistics Operations
- Customer Services and Administrative Operations
- Interorganizational Coordination and Support
- Operational Planning and Performance Management
- Project Surge and Special Event Operations
This is a highly visible, hands-on leadership position requiring active engagement with employees, Government leadership, and Ancon management. The successful candidate must be an experienced leader, mentor, teacher, and coach who can develop employees, strengthen team performance, promote accountability, and prepare qualified staff for internal advancement.
The Project Manager is also expected to participate in weekly Ancon management and workforce meetings, coordinate closely with the company’s recruiting team, support workforce expansion and employee replacement efforts, and provide regular updates regarding staffing, performance, risks, and customer priorities.
Candidates must have demonstrated Project Management experience supporting a Federal Government Executive Services organization, conference center, meeting management office, or comparable executive meeting environment.
Key Responsibilities
- Serve as Ancon’s on-site leader and principal contractor representative to Government leadership, Contracting Officer Representatives, and other stakeholders.
- Provide day-to-day leadership, direction, and oversight for all contractor personnel assigned to the project.
- Lead operations supporting executive meetings, conferences, special events, customer services, logistics, facility readiness, and administrative support.
- Build, mentor, coach, and develop a high-performing team while identifying opportunities for cross-training, professional growth, succession planning, and internal promotion.
- Establish clear performance expectations and hold employees accountable for customer service standards, attendance, responsiveness, deadlines, reporting requirements, and contract deliverables.
- Conduct regular performance discussions, employee coaching, and professional development activities.
- Develop staffing plans, workload assignments, leave coverage, and surge staffing strategies.
- Partner with Ancon’s recruiting team to identify staffing needs, evaluate candidates, participate in interviews, support hiring decisions, and onboard new employees.
- Support workforce expansion, personnel replacement, and continuity of operations during turnover, absences, and increased workload requirements.
- Monitor employee schedules, attendance, leave requests, and staffing coverage to maintain uninterrupted contract performance.
- Reinforce timely submission of required administrative documentation, status updates, schedules, and other project-related information.
- Ensure operational readiness for multiple simultaneous meetings, conferences, executive engagements, and Government-directed activities.
- Coordinate with Government leadership and support organizations, including Customer Services, Meeting & Events, Logistics, Facilities Management, Audio Visual Services, Information Technology, Security, Parking Services, and executive offices.
- Review executive schedules, Building Event Orders, staffing assignments, and operational readiness plans to support successful event execution.
- Monitor contract performance and ensure compliance with the Performance Work Statement, task order requirements, Government policies, and quality standards.
- Coordinate the preparation, collection, review, consolidation, and timely submission of weekly progress reports across the project team.
- Manage team reporting efforts by ensuring employees provide accurate and timely updates regarding accomplishments, activities, staffing, issues, risks, and performance metrics.
- Prepare and review required weekly, monthly, and ad hoc contract reports, staffing updates, performance metrics, and operational documentation.
- Develop and maintain Standard Operating Procedures, workflows, quality-control processes, reporting standards, and staff training materials.
- Identify operational and staffing risks and implement corrective actions before they affect contract performance.
- Resolve customer concerns, employee issues, scheduling challenges, and operational problems promptly and professionally.
- Participate in weekly Ancon management meetings, workforce planning meetings, recruiting discussions, and operational reviews.
- Maintain regular communication with Ancon leadership regarding staffing, employee performance, customer concerns, contract risks, recruiting priorities, and growth opportunities.
- Perform other related contract management and operational leadership duties as assigned.
Qualifications
- Bachelor’s degree in business administration, Management, Public Administration, Hospitality Management, Event Management, or a related field. Equivalent directly related experience may be considered.
- PMP certification preferred.
- Minimum seven years of progressively responsible Project Management experience supporting a Federal Government Executive Services organization, conference center, meeting management office, or similar executive meeting environment.
- Experience managing contractor personnel supporting executive meetings, conferences, customer services, administrative operations, logistics, and facility readiness.
- Experience serving as the primary contractor interface with Government leadership, Contracting Officer Representatives, Contracting Officers, and senior Government officials.
- Demonstrated experience managing staffing, scheduling, quality assurance, workforce accountability, operational readiness, performance reporting, and contract compliance.
- Demonstrated ability to mentor, coach, teach, and develop employees while building a high-performing team.
- Experience recruiting, interviewing, evaluating candidates, onboarding employees, and supporting workforce growth or staffing transitions.
- Demonstrated ability to establish clear expectations, enforce deadlines, and ensure timely completion of operational, administrative, and reporting requirements.
- Strong knowledge of Federal contract management, Performance Work Statements, scope management, deliverables, and customer service requirements.
- Experience coordinating executive meeting operations involving Building Event Orders, executive scheduling, Facilities Management, Audio Visual Services, Information Technology, Logistics, Security, and related support organizations.
- Excellent leadership, communication, organizational, customer service, conflict-resolution, and problem-solving skills.
- Proficiency with Microsoft 365 applications; Microsoft Project experience preferred.
- Ability to manage multiple priorities in a fast-paced Executive Services environment.
- Ability to obtain and maintain all required Government background and suitability requirements.
