SUMMARY:

The Order Management Specialist is the senior individual-contributor level within the Order Management function. This position owns the execution and accuracy of complex, high-value, strategically important or multi-site orders from order entry through shipment, invoicing support and final issue closure. The role serves as a senior subject matter expert for order documentation, ERP and order-status maintenance, customer and Sales change requests, shipping requirements, key-date management and cross-functional coordination. The Order Management Specialist is expected to understand the complete order-to-delivery process and proactively identify and resolve risks that may affect customer commitments. The position works closely with Sales, Customer Service, Planning, Purchasing, Engineering, Production, Manufacturing, Shipping, Logistics, Finance/Credit, Quality and leadership to translate customer requirements into accurate and executable operational plans. In addition to those listed in the Summary section above, the following are duties necessary for the position. Large & Complex Order Management Lead order-management execution for large, complex, high-value, strategically important or multi-site orders. Review orders for completeness and accuracy, including product, quantity, pricing, technical requirements, requested dates, ship dates, delivery requirements, documentation and special instructions. Enter and maintain orders accurately in Camfil ERP and order-status systems, including MacPac, SOS and other applicable platforms. Coordinate phased, staged, split or expedited shipments and monitor critical orders through the full order lifecycle. Confirm required documentation is complete and accessible before production, shipment and invoicing. Identify order risks early and drive cross-functional follow-through until delivery and issue closure. Order Accuracy, Documentation & Change Control Process customer and Sales change requests promptly and accurately while assessing the impact on materials, production, pricing, lead time, transportation and delivery commitments. Maintain key order dates, including requested, acknowledged, pencil, production and ship dates, in all applicable systems. Maintain complete shipping and delivery information, including special shipping instructions, tagging, contact information, receiving hours, unloading requirements and required shipping documentation. Validate order revisions and ensure affected departments receive accurate and timely communication. Ensure order records, notes and supporting documentation meet Standard Work and audit requirements. Partner with Shipping and Finance as needed to support complete and accurate invoicing. Cross-Functional Order Coordination Serve as the primary order-management liaison among Sales, Customer Service and Operations for assigned complex orders. Participate in or lead daily operational and cross-functional order-review meetings. Coordinate with Planning and Production regarding availability, scheduling, capacity and recovery plans. Coordinate with Purchasing regarding material or component constraints. Coordinate with Engineering and Quality regarding technical requirements, special products, documentation and order-related issues. Coordinate complex transportation and delivery requirements with Shipping and Logistics. Escalate material, production, capacity, quality, pricing or transportation constraints that threaten customer commitments. Customer, Sales & Leadership Communication Provide proactive, accurate order-status updates to customers, Sales, Operations and leadership. Communicate lead times, schedule changes, shipment status and urgent requests clearly and promptly. Manage difficult or unfavorable updates professionally while setting realistic expectations. Serve as a senior escalation resource for complex order questions and issues. Coordinate resolution of multi-department order problems and ensure clear ownership of next steps. Prepare concise order summaries, risk updates and supporting information for leadership review when required. ERP, Order Status & Data Integrity Maintain accurate order data across ERP, SOS and other working systems. Investigate discrepancies involving order details, dates, pricing, product status, shipment information or system records. Validate data used for operational review, customer communication and reporting. Identify systemic order-management issues and coordinate corrective action with appropriate stakeholders. Participate in system testing, process implementation and data-validation activities related to Order Management. Process Improvement, Compliance & Subject Matter Expertise Serve as a subject matter expert in assigned Order Management processes and systems. Act as a senior resource to less-experienced Order Management and Customer Service employees. Support training, cross-training and consistent application of Standard Work. Identify process gaps, recurring errors and opportunities to improve order accuracy, efficiency, communication, customer satisfaction and on-time shipment performance. Perform root-cause analysis on recurring order issues and recommend sustainable corrective actions. Support compliance reviews, documentation standards and continuous-improvement initiatives across plants, branches and centralized teams. Authority & Accountability Independently manage assigned complex orders and determine the appropriate internal coordination required to support customer commitments. Request corrections, clarification or additional documentation before an order proceeds when information is incomplete, inconsistent or inaccurate Escalate risks that cannot be resolved within established authority or that may materially affect the customer, revenue, cost, quality or delivery performance. Coordinate multiple functions without formal authority and maintain clear accountability for order-management follow-through. Exercise sound judgment, professionalism, discretion and urgency when managing competing priorities and high-impact issues .

MINIMUM QUALIFICATIONS:

Bachelor's or Associate's degree preferred; substantial equivalent experience in Order Management, Customer Operations, manufacturing or Supply Chain may be considered. Typically 5+ years of progressive experience in Order Management, Customer Service, Customer Operations, manufacturing or a Supply Chain-related function. Demonstrated mastery of foundational and intermediate order-management competencies. Demonstrated experience managing complex, high-value or multi-site orders. Strong ERP and order-status system knowledge; experience with MacPac, SOS or comparable systems preferred. Strong knowledge of order entry, manufacturing, Planning, Purchasing, Production, Shipping, Logistics and invoicing dependencies. Advanced proficiency with Microsoft Excel and working knowledge of Microsoft PowerPoint and other business applications. Strong analytical, mathematical, organizational and problem-solving skills. Excellent written and verbal communication skills, including customer and leadership-level communication. Ability to manage multiple complex priorities accurately in a time-sensitive environment. Ability to influence, coordinate and drive follow-through across functions without formal authority. Ability to mentor others and support process standardization and continuous improvement. WORK ENVIRONMENT: While performing the duties of this job, the employee is exposed to office, warehouse, and plant environments.
