POSITION OBJECTIVE:

The position of Purchasing and Accounts Payable Technician provides support for both the District’s accounts payable and purchasing operations. This is a project-based position scheduled to conclude on December 31, 2027, with annual reviews to determine continuation for the duration of the project.

DUTIES & RESPONSIBILITIES: (These duties are a representative sample; position assignments may vary.) Performs weekly check run as needed, serving as backup to the primary processor. Processes travel requests and approval forms, ensuring completeness, accuracy, and compliance with district travel policies. Reviews, tracks, and processes travel and professional development transactions to ensure timely reimbursement and accurate record-keeping. Collects and verifies receipts and supporting documentation; issues reimbursement payments and resolves discrepancies with staff. Processes accounts payable, including maintenance of records, reconciliation, maintenance and verification of records. Supports electronic purchasing workflows for goods and services, ensuring proper routing and documentation. Supports departments in interactions with approved vendors and purchasing processes. Facilitates renewal of expiring contracts and manages related notifications and workflow actions. Maintains purchasing records, catalogs, price lists, and related documentation. Provides backup support to team members during peak times or absences. Performs other job-related duties as assigned.

REPORTING RELATIONSHIPS:

Reports directly to and is supervised by Executive Director of Business Services or Designee.

EDUCATION & EXPERIENCE

Required: Associates degree or equivalent. Demonstrated experience performing accurate, high volume: data entry, auditing and reporting. Experience with financial accounting software and applications such as Excel. Preferred: Experience within a school district. Bachelor’s degree Advanced expertise with Microsoft Excel.

KNOWLEDGE AND SKILLS

Possesses knowledge of general principles and practices of bookkeeping and accounting. Ability to maintain confidentiality and appropriately handle sensitive information. Demonstrates proficiency in Microsoft Excel. Possesses proficiency with Microsoft 365 applications. Shows attention to detail and accuracy with data entry and work completion. Ability to clearly communicate technical and procedural information to non-technical audiences. Possesses effective oral and written communication skills. Utilizes effective customer service skills, including sensitivity to employee needs and the ability to assist in de-escalating emotionally charged situations. Performs tasks and prioritizes work in alignment with processes, timelines and workplace expectations. Ability to work under pressure, manage multiple tasks and meet inflexible deadlines. Ability to work independently with minimal direction and supervision. Demonstrates multicultural sensitivity with the ability to effectively and collaboratively work with diverse populations. Ability to perform all duties in accordance with all applicable Board policies and district and legal requirements. Ability to meet and maintain punctuality and attendance expectations.

PHYSICAL REQUIREMENTS

Positions in this class typically may require stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, finger dexterity, grasping, talking, hearing, seeing, and repetitive motions. Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

CONDITIONS OF EMPLOYMENT

CTSA Grade3 $71,605 annual to $75,373 annual salary, non-exempt (starting at $71,605 annual salary) 40 hours per week for a 260-day annual assignment. Medical, dental, vision, long-term disability, and life-insurance eligibility is based upon 630 hours worked within a school year. Retirement provided through Washington State Department of Retirement Systems. Other benefits include vacation and paid holidays.
