Contract Administrator (Temporary - 3 months)

Temporary (approx 3 months) Overview This virtual role is primarily responsible for the administration of supplier contract relationships by preparing, examining, and managing activities to ensure that contract and procurement standards are maintained throughout the portfolio to JLL and/or client as required. This role is also responsible for the review, audit and reporting of a Certificate of Insurance (COI's) on assigned accounts. This will be a fast paced high volume contract position. Responsibilities Support the client and Jones Lang LaSalle teams by answering questions related to the contracts process Data integrity of contract database — oversee maintenance and enhancement of central contract database using tools such as Jagger (Bravo), Aravo, Blaze and Smartsheet for supplier and contract management Administer and maintain contract files to ensure compliance with Jones Lang LaSalle and client requirements; manage supplier files, certificates of insurance, amendments, letters and other contractual documents Communicate, coordinate and implement local and regional initiatives and contract negotiations with suppliers and the operations team Manage the onboarding process for suppliers, including Contracts, Amendments, Task Orders, COI's, Blaze Address Book and Corrigo as applicable Manage transition plans for local and regional contracts, communicating any contract changes Establish work priorities, assign deliverables and resolve issues with Operations and Project teams, temporary staff and/or project-specific personnel to assure client satisfaction Ensure compliance by auditing sourcing and contracting policies and procedures Establish relationships with Corporate Legal and Risk Management to ensure all contractual terms comply with standard terms and changes are reviewed and approved Develop, recommend and coordinate the implementation of new procedures for the assigned function Track all correspondence and authorizations by maintaining detailed and accurate files Internal JLL Relationships Participate with JLL Client Operations and Sourcing teams to drive immediate and sustained benefits to the client Provide management, detailed instructions and continuous follow-up to support the Operations of the Account Establish favorable relationships with JLL Corporate Legal and Risk Management Work with JLL Finance and the Operations team to ensure that financial transactions are processed in an orderly and timely fashion Client and Supplier Relationships Develop and maintain a strong understanding of the MSA, Client's business, and Client Procurement Policy In collaboration with the Operations team, manage transition plans for new suppliers Be proactive and responsive; manage internal and external customer expectations Conduct local and regional performance review meetings; manage supplier scorecards, contract compliance and service obligations Establish work priorities, assign deliverables and resolve issues to client and account team satisfaction Data Management Responsible for data integrity of technical tools assigned (Jagger, Blaze, Aravo, Smartsheet, etc.) Manage large volumes of data and perform data analysis Compliance and Contracts Ensure all contractual terms comply with the MSA and that proposed changes are reviewed and approved by the Account Manager and legal/risk management Coordinate with Sourcing Manager, Account Manager, Legal and Risk Management to maintain consistency in form, nature, scope, and execution of contracts within guidelines and appropriate business practices Administer and maintain contract files to ensure compliance with JLL and client sourcing requirements, including supplier files, COI, amendments, letters and other contractual documents Provide back up support to daily contract management (trackers, creation and execution) Contractor and Eligibility This position does not provide visa sponsorship. Compensation and Location Estimated compensation for this position: 65,000.00 - 68,000.00 USD per year This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
