Job Summary

The Legal Assistant supports attorneys and paralegals by handing file management, and general clerical duties relating to the Litigation Practice Group. This position handles intake document processes, manages and maintains electronic case files, prepares initial documents and communications, coordinates schedules, arranges logistics for depositions, opens and closes files, and ensures efficient day-to-day operations within the group.

Essential Functions

• Prioritize and manage daily work assignments effectively.
• Complete intake forms and conflict checks.
• Open new client files and close old client files.
• Calendar all case management deadlines including docketing discovery deadlines, court deadlines, orders, deposition notices.
• Save case documents according to naming protocols and maintain electronic files.
• Assist with document production including reviewing, redacting, assembling, indexing, and bates numbering documents.
• Assist with copying and organizing deposition, hearing, and trial exhibits.
• Provide general administrative assistance, such as maintaining the attorney's calendar, registering for continuing education courses and conferences, making travel arrangements, making copies, and scanning and saving documents, submitting reimbursements, recording expenses and tracking related documentation, scheduling court reporters and rooms, and proofreading documents.
• Submit electronic filings for state and federal court.
• May be expected to perform other duties as requested by administrative management to assist in the orderly operation of the firm.

Skills & Qualifications

• Proficient in Microsoft Office Suite.
• Ability to independently manage tasks and project and meet deadlines.
• Strong time-management skills.
• Ability to collaborate effectively as a team member to complete projects on time.
• Excellent attention to detail and accuracy.
• Ability to organize and manage case files, records, and related materials.
• Strong communication skills across multiple formats, including verbal, written, electronic, and presentation platforms.
• Willingness and ability to learn and use databases and specialized software necessary to perform job responsibilities, including but not limited to PerfectLaw, the firm’s case management and time-and-billing systems, Odyssey, and PACER.
• Ability to maintain confidentiality.

Experience

• Litigation experience preferred, but not necessary.
