Director Of Operations

Position Summary

The Director of Operations is responsible for overseeing the day-to-day operations of the Fleet, Dispatch, and Inventory departments and providing direct leadership to the managers of all three departments. This position serves as a key partner and right-hand operational leader to the Owner, ensuring operations run efficiently, managers are held accountable, and the departments work together effectively.

The ideal candidate is a strong operational leader and people manager who is comfortable managing managers, making decisions, solving problems, creating accountability, and coordinating multiple operational functions.

Essential Duties and Responsibilities

• Provide direct leadership and oversight to the Fleet Manager, Dispatch Manager, and Inventory Manager.

• Establish clear expectations and hold department managers accountable for performance, communication, follow-through, and department operations.

• Oversee staffing and scheduling across Fleet, Dispatch, and Inventory to ensure appropriate coverage based on business needs.

• Review labor needs, overtime, staffing levels, and schedules to help manage labor costs.

• Ensure all three departments follow established company policies, procedures, and SOPs.

• Identify operational issues and work with managers to implement solutions.

• Improve communication, coordination, and workflow between Fleet, Dispatch, and Inventory.

• Monitor department performance, productivity, attendance, and overall efficiency.

• Conduct regular meetings with department managers to review priorities, staffing,
performance, and outstanding issues.

• Coach and develop managers, including providing feedback and addressing performance or leadership concerns.

• Ensure managers communicate professionally and consistently with their teams.

• Promote consistent treatment, expectations, and accountability across departments.

• Provide oversight of inventory operations, including product sourcing, purchasing, inventory levels, vendor relationships, product setup, pricing, specials, and promotions.

• Review higher-level purchasing and inventory decisions and ensure inventory levels support operational and business needs.

• Ensure Inventory, Dispatch, and Fleet coordinate effectively so product availability and daily operational needs are aligned.

• Partner with HR regarding employee relations, performance management, corrective action, investigations, and terminations when necessary.

• Participate in recruiting, interviewing, hiring, and onboarding for key operational and management positions.

• Assist managers with resolving employee concerns and escalate significant issues to HR or the Owner when appropriate.

• Review current processes and recommend operational improvements.

• Ensure operational and facilities-related issues are assigned, followed through on, and resolved.

• Serve as the primary operational liaison between the Owner and the Fleet, Dispatch, and Inventory departments.

• Provide the Owner with regular updates regarding staffing, performance, inventory, purchasing, labor costs, and operational concerns.

• Make day-to-day operational decisions within established authority and escalate significant business decisions to the Owner when necessary.

• Assist with special projects and other operational responsibilities as needed.

Leadership Expectations
The Director of Operations is expected to create a culture of accountability, professionalism, consistency, communication, and follow-through. This person should be comfortable stepping into difficult situations, addressing issues directly, and ensuring managers meet established expectations. The Director should balance accountability with employee development, coaching managers when appropriate while recognizing when stronger corrective action
is necessary.

Qualifications
• 5+ years of operations management experience, preferably in delivery, transportation, logistics, dispatch, inventory, purchasing, fleet operations, or a similar environment.

• Prior experience directly managing supervisors or managers strongly preferred.
• Strong leadership and people-management skills.

• Experience with scheduling, staffing, labor management, and operational planning.

• Experience with inventory management, purchasing, vendor relationships, or product operations preferred.

• Ability to manage multiple departments and competing priorities.

• Strong problem-solving and decision-making skills.

• Ability to address conflict and difficult employee or management situations professionally.

• Strong written and verbal communication skills.

• Experience developing and implementing operational procedures and processes.

• Ability to work collaboratively with ownership and HR.

• Strong organizational skills and attention to follow-through.

• Comfortable working in a fast-paced environment where priorities may change.
