Job Summary The Exe cutive Assistant is an integral member of the Executive Leadership Team, providing proactive administrative and organizational support. This role facilitates the effectiveness of executive leaders by managing communications, calendars, travel, meeting preparation, and records. The Executive Assistant ensures smooth operations within the organization while empowering leaders to operate at full strategi c capacity. Key Responsibilities Pr ovide full support for incoming and outgoing communications with internal and external stakeholders Man age executive calendars, including scheduling meetings, coordinating large-scale events, and arranging travel and accommodations Serve as the professional face of the Administrative Office, greeting visitors with a customer service focus Assist with preparation, editing, and submission of presentations, financial statements, and reports for senior leadership and board meetings Organize and maintain confidential financial files and records Coordinate onboarding preparation for new Directors Manage day-to-day priorities and challenges, supporting executives as needed Ensure discretion and confidentiality in handling sensitive information Required Qualifications Associ ate’s degree in Business Administration or related field Minimum of five years of experience as an Administrative or Executive Assistant Strong written and oral communication skills Ability to handle confidential information with discretion Sound judgment and decision-making skills under pressure Strong organizational skills, self-motivation, and ability to work independently Professional demeanor with patients, visitors, employees, and medical staff Proficiency in Microsoft Word, PowerPoint, and Excel; advanced Excel functions preferred Flexibility to work occasional evenings for health system events Preferred Qualifications Ba chelor’s degree strongly preferred Experience contributing to teams, delivering results on time and within budget Project management experience Certifications None required; relevant administrative or project management certifications are a plus Education: Associate's Degree
